COOL Church Discipleship Coordinator (Part-Time)
Miami Gardens, FL. & Miramar, FL. (Campus-Based) | Part-Time | Hourly/Based on Experience
Reports to:Campus Pastor(s) Overview
COOL Church is seeking a Discipleship Coordinator (Part-Time) to help strengthen our discipleship pathway by supporting Serve Team growth and ensuring our salvation and next-steps funnels are executed with excellence. This role is focused on coordination, follow-up, and consistency—helping people move from first-time guest → salvation → connection → serving → growth. The ideal candidate is spiritually mature, highly relational, organized, and passionate about helping people take next steps.
PrimaryResponsibilities
1) Serve Team Growth & Development (Coordination + Support)
- Coordinate Serve Team recruiting support and help leaders identify weekly/monthly volunteer needs.
- Assist with volunteer onboarding steps (applications, connections, placement, follow-up).
- Partner with ministry leaders to improve volunteer retention through consistent communication and care.
- Support Serve Team leader development by organizing training moments, resources, and checklists.
- Coordinate the follow-up process for salvation decisions (calls, texts, emails, resources) within agreed time frames.
- Ensure new believers receive clear next steps: baptism, Growth Track/Next Steps, groups, and serving.
- Maintain consistent handoffs between weekend services and discipleship follow-up.
- Track and report key metrics: salvation decisions, follow-up completion, baptisms, and next-step conversions.
- Coordinate guest-to-family pathways (connections, Next Steps events, Growth Track moments, and serving placements).
- Work with Guest Experience and ministry teams to ensure next steps are communicated clearly each week.
- Help ensure no one “falls through the cracks” by keeping lists updated and follow-ups completed.
- Keep simple dashboards/spreadsheets updated (volunteer pipeline, follow-up completion, next-step outcomes).
- Provide weekly or monthly updates to campus leadership on Serve Team health and funnel performance.
- Identify gaps in execution and recommend practical improvements (checklists, reminders, timeline changes).
- Support baptisms, Next Steps/Growth Track environments, serve team rallies, and outreach moments as scheduled.
- Coordinate volunteers and follow-up plans for these discipleship touchpoints.
- Follow-up is consistent and timely—people who say “yes to Jesus” are contacted and guided into next steps.
- Serve Teams grow steadily because onboarding is organized, caring, and clear.
- Systems are simple, measurable, and executed weekly without breakdowns.
- Leaders feel supported because communication, lists, and details are handled with excellence.
- You embody COOL Church staff values and help strengthen unity across teams.
- Salvation Follow-Up Completion: completed within the agreed timeframe (ex: 24–72 hours).
- Next Steps Conversion: salvations moving toward baptism, groups, and serving (tracked monthly).
- Serve Team Pipeline Health: consistent onboarding activity and reduced drop-off.
- Retention Support: volunteer follow-up completed and leader needs addressed consistently.
- Execution Consistency: weekly lists updated and handoffs completed without gaps.
- Event Readiness: baptisms/Next Steps moments supported with a clear plan and follow-up process.
- Strong personal walk with Jesus and alignment with COOL Church mission and staff values.
- Experience in discipleship, volunteer coordination, ministry leadership, or church administration (paid or key volunteer role).
- Strong relational skills and ability to communicate with new believers and volunteers.
- Highly organized and consistent with follow-through.
- Comfortable tracking basic metrics and using tools like spreadsheets/email/texting.
- Familiarity with church systems/tools (Planning Center, Church Community Builder, etc.).
