Grant & Assistant Project Manager – Downtown Miami

OverviewThe Grant & Assistant Project Manager will play a key role in supporting Brightline’s development and construction initiatives while managing the full lifecycle of public funding opportunities.
Responsibilities- Project Management
- Assist in the coordination, planning, and execution of capital projects, ensuring alignment with Brightline’s safety, schedule, budget, and quality goals.
- Support the Project Manager in managing contractors, consultants, and vendors to deliver projects on time and within budget.
- Review and track project budgets, commitments, and cost exposures; maintain project logs including Potential/Pending Change Orders.
- Participate in progress meetings with design professionals, contractors, and stakeholders, including municipalities and federal agencies.
- Review, negotiate, and process payment applications, change orders, and contract documents.
- Monitor submittals and RFIs, ensuring timely and coordinated responses.
- Support project reporting, including preparation of weekly status updates and inputs to executive-level monthly reports.
- Assist in project closeout, commissioning, and turnover to operations.
- Ensure compliance with Brightline’s financial controls, procurement procedures, and safety policies.
- Utilize project management tools such as Primavera P6, PMWeb, and Microsoft Office Suite to track schedules, costs, and documentation.
- Grant Management & Compliance
- Identify, track, and evaluate grant opportunities (federal, state, and local) relevant to Brightline’s projects.
- Lead or support the preparation of competitive grant applications, coordinating across departments to develop compelling proposals.
- Manage awarded grants through implementation, ensuring compliance with all federal and state requirements, including Buy America, Davis-Bacon, and DBE participation.
- Coordinate grant reporting activities—collecting data, preparing financial and performance reports, and ensuring timely submission to granting agencies.
- Serve as liaison with grantors, partner agencies, and internal stakeholders for all post‑award communications, amendments, and reporting requirements.
- Support the finance team with grant invoicing, documentation, and reimbursement tracking.
- Maintain current accounts and credentials in grant portals (SAM.gov, Grants.gov, Grant Solutions, Delphi, etc.).
- Collaborate with legal, procurement, and finance teams to execute grant agreements and flow‑down provisions to contractors and vendors.
- Collaboration & Departmental Support
- Act as a coordinator and facilitator between development, construction, and operations teams to ensure alignment of schedules, deliverables, and compliance milestones.
- Assist leadership in maintaining communication across departments, tracking action items, and following up to ensure timely resolution.
- Represent Brightline professionally with external stakeholders, including cities, regulatory agencies, and community partners.
- Support implementation of company‑wide project control, quality, and reporting systems.
- Education:
Bachelor’s degree in Construction Management, Engineering, Architecture, Public Administration, Business, or related field. - Minimum 5–8 years of experience in project management, grant management, or related fields within infrastructure, construction, or transportation.
- Demonstrated experience managing complex, multi‑stakeholder capital projects.
- Proven track record of preparing and managing grants, preferably federally funded transportation or infrastructure programs.
- Strong organizational and communication skills, with ability to manage multiple priorities.
- Proficient in Microsoft Office (Excel, Word, PowerPoint); experience with Primavera P6, PMWeb, or similar project management tools preferred.
- Strong analytical and writing skills, with ability to synthesize technical information into clear reports or narratives.
- Familiarity with federal funding regulations and reporting requirements (FTC/FRA/DOT) preferred.
- Detail‑oriented with ability to ensure compliance and documentation accuracy.
- Collaborative, self‑driven, and adaptable to changing priorities.
