Organization Andaz Miami Beach
Andaz Miami Beach is now recruiting a Group Reservations Coordinator to join the hotel’s team. An art-deco building and architectural landmark is home to the newest luxury lifestyle hotel located in the heart of Mid-beach. The property boasts 287 guestrooms including 64 breathtaking suites and the ONLY Ocean-view arrival experience in Miami Beach. The design features elements of texture, art, and pops of color that create a unique and captivating experience.
Each suite is designed with floor-to-ceiling windows, most with deep-soaking tubs, and cozy reading nooks. Guests can also enjoy private outdoor terraces with stunning views of the Atlantic and the Miami skyline. Unmatched amenities include a full-service spa, a well-equipped fitness center, a destination dining experience by José Andrés, two pools, and a Beach Club catering to the who’s who of Miami.
Spanning 25,000 square feet of innovative indoor and outdoor event space, Andaz Miami Beach will become a landing spot for guests and locals seeking celebratory gatherings that embrace the city's culture of music, art, and fashion.
Group Reservations & Coordination
- Manage all group reservations from contract input to final rooming list entry, ensuring accuracy in the PMS and reservation systems.
- Maintain up-to-date group blocks, cutoff dates, and inventory, adjusting as needed to optimize hotel occupancy.
- Process reservation requests, changes, and cancellations received via phone, email, or other channels with precision and efficiency.
- Verify room type availability, rates, occupancy, and eligibility for qualifying discounts or negotiated rates.
- Ensure proper coding for special reservation types such as complimentary rooms, employee rates, travel agent inspections, and wholesale bookings.
- Support Transient/Leisure reservations as needed. Partner with Director of Leisure Sales and Director of VIP and Guest Experience as needed.
Communication & Collaboration
- Serve as the primary liaison between Sales, Events, Front Office, Revenue, and Accounting to ensure seamless group execution.
- Communicate all relevant group details to internal departments, ensuring operational readiness and guest satisfaction.
- Support the Revenue Manager and Director of Revenue with daily reporting, system updates, and inventory management for both transient and group segments.
- Maintain parity and accuracy across all systems through regular reconciliation.
Guest Experience
- Welcome and acknowledge guests in alignment with Andaz brand standards, delivering warm, genuine, and personalized service.
- Anticipate guest needs by actively listening, asking thoughtful questions, and observing preferences.
- Engage guests in meaningful conversation about their stay, hotel offerings, and local Miami Beach experiences.
- Handle guest concerns using brand-specific service recovery processes to build trust and enhance satisfaction.
Professional Conduct & Standards
- Uphold confidentiality of guest information, proprietary materials, and company assets.
- Follow all company policies, procedures, and quality assurance standards.
- Maintain a polished, professional appearance consistent with Andaz brand expectations.
- Communicate clearly and professionally with guests, colleagues, and partners, including proper telephone etiquette.
Teamwork & Workplace Culture
- Foster positive working relationships with colleagues, supporting team goals and contributing to a collaborative environment.
- Handle sensitive issues with tact, diplomacy, and respect.
- Participate in cross-department communication to ensure smooth operations and exceptional guest experiences.
Administrative & Reporting Duties
- Prepare and update daily, weekly, and monthly revenue and group reports (e.g., STR, internal revenue tools).
- Process commissions accurately and in a timely manner.
- Ensure accurate billing for all group reservations and collaborate with Accounting to resolve discrepancies.
