Summary

Hospital Unit Secretary facilitates department/patient flow and patient care by serving as a frontline ambassador in customer service, performing clerical duties and data entry functions.

Responsibilities
  • Prepare & maintain medical records: label all pages, file forms, clinical reports, diagnostic studies accurately and timely.
  • Copy appropriate sections and thin/break down charts as needed; send thinned charts to medical records or transfer with patient.
  • Flag unsigned forms for signature, date, time; follow up to ensure completion.
  • Perform document scanning into electronic documentation management.
  • Maintain and update bed tracking system to reflect patient status.
  • Transfer and discharge patients in computer system; update unit census per entity standard.
  • Enter patient or unit charges; ensure computer census accuracy at shift start, during transfers, and at shift end.
  • Computer Physician Order Management: print forms; call consult documents, record date/time and person spoken to.
  • Ensure accuracy of patient status (observation, inpatient, telemetry, etc.).
  • Assist nurse with patient requests, transport supplies and specimens, meal trays, nourish deliveries, menus if applicable.
  • Obtain updated OR schedule daily; maintain cleanliness of unit and nurse station.
  • Greet all visitors; answer patient call system and telephones; deliver messages to appropriate person.
  • Maintain working knowledge of printers and other clerical equipment; report malfunctioning/tag broken equipment; track equipment per unit/entity standard.
  • Assist with materials management: ordering supplies, forms, floor stock, etc.
  • Orient new employees to job; assist in collection and storage of patient belongings.
  • HUS staff may verify active diet orders with RN, assist discharge/transfer as needed.
  • Demonstrate behaviors of service excellence and CARE values (Compassion, Accountability, Respect, Expertise).
  • Perform all other related job duties as assigned.
Unit specific criteria

Hospital Unit Secretaries in BHH are not required to transport patients, assist with discharge and do not verify diet orders.

Experience

Generally requires 0 to 3 years of related experience.

Education

High School diploma is required.

Skill
  • Analyze, organize and prioritize work accurately while meeting multiple deadlines.
  • Communicate effectively in both oral and written form.
  • Understand and follow instructions.
  • Use job appropriate technology and software applications.
  • Exercise sound and independent judgment.
  • Meet and maintain all unit specific and organizational skills/competencies, certifications/licensures as required by the nursing area.
Credentials

American Heart Association Basic Life Support (BLS) and any additional applicable life support certification for Healthcare Providers required upon hire with at least 6 months validity and maintenance at JHS for the duration of employment.

Unit Specific Certification

Hospital Unit Secretaries working in any unit at BHH are not required to have a Basic Life Support (BLS) certification.

Working Conditions

Physical Requirements:

Job function is sedentary; requires sitting for extended periods; may require frequent standing or walking; must be able to lift or carry objects up to 20 pounds; requires close visual acuity for computer use and data analysis.

Environmental Conditions

Function in a fast‑paced environment with occasional high pressure or emergent situations; frequent interaction with a diverse population; potential exposure to communicable diseases, toxic substances, medicinal preparations; may wear PPE such as gloves or mask when exposed to hospital environment outside of office.
