Role SummaryThe Operations & Finance Manager is responsible for overseeing the agency’s financial work, invoicing processes, budgeting systems, vendor payments, operational tools, P&L and forecasting. This role is less about administrative vendor management and more about building scalable financial infrastructure, developing best‑in‑class internal systems, and acting as the operational backbone of the agency. The role requires strong analytical skills, experience in agency operations, and an ability to implement structure and efficiency al candidates have already owned finance and ops at a lean or midsize agency and are comfortable being both strategic and hands‑on.
Key Responsibilities- Manage vendor and client POs, invoices, payments, and financial documentation.
- Track budgets across multiple divisions and clients.
- Develop agency’s financial reporting tools, profitability models, and forecasting dashboards.
- Analyze financial data and identify trends, opportunities, and risks.
- Own agency forecasting and scenario planning with the General Manager and shareholders, providing forward‑looking financial insights.
- Build operational structure, streamline processes, and implement scalable systems across all teams.
- Ensure cross‑department alignment and serve as the central point of truth for budgets, revenue, and financial status.
- Maintain internal systems (project management, finance, operations).
- At least 4 years of experience in a marketing, PR, experiential, media, or creative agency.
- Strong financial analysis abilities with understanding of agency margins, billability, and production budgets.
- Highly organized, detail oriented, and process driven.
- Experience owning budgeting, forecasting, and month‑over‑month revenue planning.
- Good communication skills and ability to work cross‑functionally.
- Ambition and entrepreneurship spirit to grow the role into a Finance Director or CFO role over time.
- Experience building processes and adopting new system and way of working, not just maintaining them, is highly preferred.
