Reporting organisationally to the Executive Director, Events & Entertainment, the Production Planning Lead – Scheduling is responsible for the development, management, and oversight of a centralized production schedule across all Events and Entertainment elements. This role owns as the single source of truth for production planning and delivery, ensuring cross-functional alignment, early identification of scheduling clashes, and real-time communication across all stakeholders.

s, EET Project Leads, Event Management Companies (EMCs), production teams, vendors, and operational leadership, this role plays a critical part in ensuring complex event programs are delivered efficiently, safely, and on schedule.
The main responsibilities and oversights of the Production Planning Lead – Scheduling for the FIFA World Cup 26™ include:
Production Scheduling & Planning ()
- Own, configure, and maintain as the primary production scheduling platform for all Events and Entertainment activity.
- Develop and manage integrated, multi-disciplinary production schedules, ensuring accurate sequencing, dependencies, and resource allocation.
- Serve as the central point of contact for all scheduling inquiries, updates, conflicts, and change management.
- Collaborate closely with internal functional areas, EMCs, production partners, and vendors to gather schedule inputs and maintain real-time accuracy.
- Proactively identify and resolve scheduling clashes, resource conflicts, and critical path risks across venues, talent, technical operations, rehearsals, and live shows.
- Manage live schedule changes and ensure timely, clear communication through dashboards, views, and reporting.
- Ensure all event elements—including staffing, equipment, venues, rehearsals, show calls, and vendor services—are fully scheduled, coordinated, and confirmed.
- Produce and distribute daily, weekly, and as required schedule reports for management, EMCs and operational teams.
Control Room Logging & Live Operations Support
- Support live event operations from the control room, maintaining an accurate and timestamped log of activities.
- Record key communications, decisions, incidents, and schedule deviations in real time.
- Track updates received via radio, phone, and digital communication channels, ensuring alignment with the master production schedule.
- Escalate schedule-critical issues, operational risks, and safety concerns to senior management and event command as required.
- Ensure real-time operational information is reflected in to maintain shared situational awareness.
