Job Summary:
Under the direction of the Department Chair, coordinates and administers the operational and financial activities of the Multidisciplinary Engineering and Computing Education, Systems and Management Department (ESM). Responsibilities include academic and student program planning, implementation, evaluation, and record maintenance for ACCE and SACS accreditation. Collaborate with CEC Finance to monitor the ESM budget and expenditures.
- Coordinate all matters related to the department operating budget and monitor expenditures in collaboration with the Department Chair and CEC Finance. Provide documentation for Foundation reimbursements and prepare periodic expense and activity reports. Serve as Fiscal liaison for the Department.
- Interpret University, SUS, and departmental policies and procedures to faculty and staff.
- Recommend policies and procedures to the Department Chair.
- Manage the department's credit card transactions, requisitions, and reporting; maintain records and support account reconciliation.
- Prepare requisitions, TARs, and travel reimbursements.
- Assign, monitor, supervise, and evaluate duties of supporting staff and temporary personnel.
- Assist the Chair in recruiting adjuncts and credentialing teaching faculty; verify class schedule feasibility and enter schedules into the system.
- Act as proxy approver for HR-related transactions; assist with hiring and termination logistics for the department; supervise temporary personnel.
- Provide academic data and departmental metrics for reports as needed.
- Serve as liaison between the Department and the Dean's office to support construction and maintenance projects; prepare minor project requests and follow through to completion.
- Assist with development, coordination, and implementation of undergraduate and graduate programs; prepare class schedules and document faculty and adjunct assignments. Liaise for graduate and undergraduate student affairs.
- Handle confidential student and faculty/staff data appropriately and in compliance with laws and policies.
- Support the Chair with generating reports, preparing agendas, presentations, notices, and correspondence; manage calendar, meetings, and events; arrange travel for visitors; record and distribute minutes; reserve conference rooms.
- Coordinate recurring and non-recurring department events (degrees, lectures, career expo, conferences, seminars); provide administrative support for instruction and accreditation visits.
- Provide assistance to faculty, staff, students, and the public; interact with FIU and external stakeholders.
- Coordinate enrollment activities and ensure accurate placement of students in course sections; support graduate program activities (orientation, student forums and meetings).
- Work with the Department Chair on preparing and submitting contracts; provide information for adjuncts, overloads, student, RA, and TA contracts.
- Serve as Public Notary for the Department, assisting faculty, staff and students with notary needs as required.
- Perform other related duties as assigned.
Bachelor's degree and two (2) years of office or related experience.
