Position OverviewWe’re seeking an experienced Lead Project Coordinator to manage the coordination and execution of luxury shading projects from approval to installation. This role is ideal for a highly organized, proactive professional who thrives on keeping complex timelines, communication, and logistics running smoothly.
You will work closely with Account Managers, purchasing, warehouse, and installation teams—owning the coordination process while reporting to the Operations Manager.
Responsibilities- Own project coordination from approval through final installation.
- Create and manage detailed project schedules, including site visits and key milestones.
- Collaborate with Account Managers to gather project requirements and finalize specifications.
- Maintain accurate project documentation, timelines, and updates in CRM and project tracking systems.
- Communicate regularly with clients, vendors, and internal departments to ensure alignment.
- Coordinate logistics, including material deliveries, installer scheduling, and job site readiness.
- Track order statuses and follow up with vendors to ensure timely delivery and accuracy.
- Support permitting processes and ensure compliance with documentation requirements.
- Monitor project expenses, invoicing, and change orders in coordination with the Controller.
- Conduct quality control follow-ups, document site conditions, and escalate issues when necessary.
- Ensure smooth project execution with a strong focus on client satisfaction and internal accountability.
- 2–4+ years of experience in project coordination, scheduling, or operations (construction, shading systems, design, or related fields).
- Proven ability to manage timelines, logistics, and communication across multiple projects.
- Familiarity with luxury residential or commercial project workflows is preferred.
- Excellent organizational and multitasking skills with high attention to detail.
- Strong communication skills (written and verbal) and a customer-first mindset.
- Proficiency in Microsoft Office, Google Workspace, and CRM/project tracking tools (Procore experience is a plus).
- Bilingual (English/Spanish) preferred.
