DUTIES and RESPONSIBILITIES:
Legal and Clerical Support
- Prepares legal documents using advanced word processing software from handwritten drafts, edited copy, or electronic files.
- Updates, maintains, and closes legal case files.
- Drafts and processes litigation expense forms.
- Arranges AUSA travel and prepares related travel authorizations and vouchers.
- Responds to incoming calls and greets office visitors, directing them appropriately or taking messages.
- Provides clerical support such as making copies, collating and stapling materials, and sorting and filing documents alphabetically, numerically, or chronologically.
- Makes routine and special messenger runs as needed.
- Operates office equipment including copy machines and switchboards, utilizing custom functions like copy reduction and enlargement.
- Assists AUSAs in trial preparation and courtroom presentations using litigation support tools.
- Prepares and organizes trial exhibits including visual materials such as maps, photographs, and charts.
- Assists with automated litigation systems and processes to streamline courtroom support.
- Provides assistance to various AUSAs across legal sections as needed to address staff shortages or surges in workload.
- Demonstrates flexibility in adapting to shifting priorities and changes in assignments with short notice.
- Works independently under the direction of AUSAs and executive-level personnel
EDUCATION:
- High school diploma (required).
- Legal administrative experience preferred.
- Typing Speed:
Minimum 40 words per minute required.
- Proficiency in using office software, including word processing and databases.
- Familiarity with standard office machines (e.g., scanners, copiers with custom features).
- Strong data analysis, document review, and attention to detail.
- Effective oral and written communication skills.
- Ability to prioritize tasks and complete work within tight deadlines in a high-volume setting.
- Demonstrated interpersonal skills, including professional interaction with law enforcement, attorneys, legal professionals, and the public.
