Administrative Management, Office Administrator/ Coordinator
The Assistant Property Manager to provide operational leadership, administrative oversight, and professional support to ensure the efficient day‑to‑day operation of the property. Working in partnership with the Property Manager, this role supports governance, staff supervision, vendor coordination, and client relations while maintaining compliance with company standards and community objectives.
The Assistant Property Manager plays a critical role in operational execution, team leadership, and communication with residents, vendors, Board members, and internal stakeholders.
Key Responsibilities Property Operations & AdministrationSupport the Property Manager in managing daily property operations in alignment with KWPMC objectives.
Schedule, organize, and coordinate meetings, travel, conferences, and departmental activities.
Organize, prioritize, and manage high volumes of information, communications, and requests.
Maintain, update, and coordinate account and property information within company systems and databases.
Coordinate and track critical dates, including annual meetings, budget meetings, and compliance deadlines.
Ensure all agendas are posted in required physical locations and uploaded to applicable websites.
Assist with preparation of Board agendas, Board packets, and meeting minutes.
Act as a liaison between the property and internal departments, District Managers, Vice Presidents, Board members, vendors, and outside agencies.
Handle confidential, sensitive, and non‑routine information with discretion and professionalism.
Ensure all on‑site communications (phone, email, in‑person) are handled professionally and responded to within 24 business hours.
Work closely with Committees and Committee Chairpersons to support initiatives and requests.
Code and enter all community invoices accurately and in a timely manner.
Assist with gathering quotes and proposals for community projects.
Ensure vendor packets are completed and processed for all vendors.
Monitor and track vendor licenses and insurance expirations to ensure compliance.
Maintain accurate and up‑to‑date information in Lynk, KWIC, and related systems.
Provide daily oversight and direction to office staff and other on‑site team members.
Coordinate division of workload with the Administrative Assistant.
Ensure a professional, service‑oriented culture among the on‑site team.
Order and manage supplies for Maintenance, Housekeeping, and Office operations.
Reserve and coordinate conference room and community event logistics.
Strong leadership, interpersonal, and communication skills.
Proven experience in property management, administration, or a related operational role.
Ability to manage multiple priorities and maintain organization in a fast‑paced environment.
Strong problem‑solving, judgment, and decision‑making skills.
Customer‑focused mindset with the ability to work with diverse populations.
Proficiency in Microsoft Office Suite and property management systems.
Ability to maintain confidentiality and exercise discretion.

Schedule determined by the operational needs of the property.
Professional office environment utilizing standard office equipment.
Travel required within the county based on property needs, including coverage, meetings, and training.
Primarily sedentary role with occasional standing, walking, bending, and lifting.
Ability to lift, push, or pull items up to 20 pounds.
Requires manual dexterity, visual and auditory acuity, and the ability to follow written and verbal instructions.
Minimum of 3 years of experience in a related role.
Bachelor’s degree required.
Strong multitasking and priority management skills.
Keyboarding proficiency (45–50 WPM with accuracy).
Ability to work effectively in a team‑based environment.
