- Three years of secretarial or clerical work experience; or possession of a Certified Professional Secretary Certificate.
- College education from an accredited institution may substitute at the rate of 30 semester or 45 quarter hours for each year of the required experience.
- Vocational/technical training in an area of secretarial science or office/business studies may substitute at the rate of 720 classroom hours for each year of the required work experience.
- A high school diploma or its equivalent may substitute for one year of the required work experience.
- Maintain productivity under tight time frames, balance multiple and competing priorities, and demonstrate a goal‑directed performance even under stressful conditions.
- Interact courteously with others and maintain consideration of the workload concerns of others to prevent negative impacts on productivity and morale.
- Attend regularly; attendance is an essential function of the position.
- Provide administrative support and technical assistance to a Vocational Rehabilitation (VR) unit and its customers.
- Assist the VR Supervisor with tracking and monitoring unit attendance and leave.
- Assist the VR Supervisor in organizing, coordinating and prioritizing unit activities.
- Assist the VR Supervisor in the preparation of confidential personnel actions.
- Receive, track and submit monthly reports as assigned.
- Process and track monthly travel and submit to Area Office.
- Conduct inventory and order supplies for the unit.
- Prepare and sign routine correspondence.
- Answer phones and file documents.
- Review closed files to ensure proper file order.
- Track transferred cases.
- Review, audit and process authorizations for payment or cancellation.
- Work directly with customers to obtain and verify referral information.
- Verify customers’ employment status.
- Schedule and notify customers of appointments.
- Mentor support staff and conduct training both in the unit and/or outside the unit when requested.
- Participate in teams or committees as assigned.
- State of Florida Retirement – 3% employee contribution required.
- 10 paid holidays annually.
- Employee‑service‑hours: up to 5 years earn 8.667 hours per month; 5‑10 years earn 10.833 hours per month; over 10 years earn 13 hours per month.
- Career Service employees earn 8.667 hours of sick leave credits per month.
- Health insurance for individual or family coverage – State pays 80% of premium.
- Life insurance – State pays premium for $25,000 basic term life insurance for full‑time employees.
- Additional supplemental insurances available such as dental, vision, etc.
- Tax‑deferred medical and child‑care reimbursement accounts available.
- Tax‑deferred savings program available through payroll deduction.
