Role Overview

The Account Coordinator (AC) is a key administrative and coordinator position, designed to remove routine workload from the Account Management lead and Entertainment Manager team so they can focus on client facing responsibilities. This is an entry-level, hourly role (40 hours per week) with potential opportunity for overtime. The AC must be successful through clarity and repeatable workflows. The job is intentionally structured around defined administrative responsibilities, standardized communication, and system maintenance, and will contribute to the ongoing growth of the organization.

This role is ideal for someone who is highly organized, thrives in a fast paced hospitality environment and can blend high-end client service, ownership of details, follow through, and problem solving while working closely within a team.

Key Responsibilities
  • Provide administrative support to the Account Manager (AM) and team, helping reduce administrative workload and protect time for client facing responsibilities.
  • Schedule and coordinate meetings for the Account Management Team including: monthly strategy calls, quarterly check-ins, and facilitating logistics for quarterly business reviews.
  • Build meeting agendas, capture notes, and send follow-up recaps.
  • Track action items, due dates, and follow through. Collaborate with internal team members and clients as appropriate.
  • Maintain client contact lists and ensure communications are logged consistently.
  • Maintain booking checklists and ensure required details are collected and logged.
  • Confirm gig details are complete and accurate in booking system, and flag risk when details are missing or confirmations are pending.
  • Send routine confirmations and reminders using approved templates when appropriate.
  • Track outstanding open dates and pending confirmations, and prepare a weekly needs list for the team of backlog, unfilled dates and potential risks.
  • Support performer communications as directed using standard templates.
  • Maintain and ensure requests move through the workflow daily within defined capacity blocks.
  • Keep Airtable accurate and current, and maintain shared templates, checklists, and trackers.
  • Produce weekly administrative reporting inputs for Account Management scorecards.
Ideal Candidate
  • 1 - 3 years in hospitality, entertainment, or a coordination/support role (entry level candidates encouraged).
  • Strong organizational skills with excellent attention to detail. Able to manage multiple priorities and follow through consistently.
  • Comfortable multitasking in a fast-paced environment while staying calm, reliable, and process-driven.
  • Strong written and verbal communication skills (email, phone, internal coordination).
  • Team-first mentality with a proactive approach to problem solving and ownership.
  • Comfortable working in a lean environment where repeatable workflows, accuracy, and accountability matter.
  • Proficiency with tools like Airtable (or similar), Google Workspace, and shared inbox workflows is a plus.
