Position overviewMurgado Automotive Group is seeking a highly organized Administrative Assistant to support CEO Mario Murgado while working closely with our Executive Assistant
. This role is based from our home corporate office in the Miami area and is responsible for keeping the executive office organized, responsive, and ahead of deadlines. The ideal candidate is professional, proactive, discreet, and comfortable managing shifting priorities with calm and precision.
- Manage and protect the CEO Outlook calendar by scheduling meetings, confirming attendees, and reducing conflicts before they become problems.
- Coordinate executive travel by booking flights, hotels, ground transportation, and dining while producing clear itineraries with confirmations, addresses, and contact details.
- Work directly with hotel concierge teams and vendors to ensure smooth arrivals, room preferences, meeting setups, and special requests are handled correctly.
- Support the CEO's inbox by organizing messages, prioritizing urgent items, drafting responses when appropriate, and ensuring follow‑ups are tracked and completed.
- Help plan and execute quarterly corporate retreats and meetings by coordinating venues, room blocks, transportation, agendas, and onsite logistics.
- Maintain organized digital files and documentation by keeping confirmations, contracts, contacts, and templates easy to access and up to date.
- Partner with the Executive Assistant by taking ownership of defined responsibilities and communicating updates so priorities stay aligned and nothing falls through.
- Three or more years of experience supporting an executive, senior leader, or executive office in a fast‑paced environment.
- Highly proficient with Outlook, especially calendar management, meeting coordination, and time‑zone scheduling.
- Proven travel planning experience and comfort adjusting plans quickly when changes happen.
- Clear written and verbal communication, consistent sound judgment, and a professional tone.
- Extremely organized, disciplined, and timely, with a pride in clean follow‑through.
- Ability to handle confidential information with discretion and an understanding of the trust required in an executive office.
- Experience coordinating events, offsites, or retreats, or comparable logistics ownership in prior roles.
- A paralegal background is a plus, especially if it includes document organization, confidentiality, and deadline‑driven work.
This role is ideally based in South Florida with regular work from the Miami area home corporate office. The position requires flexibility for occasional early mornings or evenings due to travel, time zones, and business needs. Quarterly travel is required to support corporate retreats and key meetings in person. We may consider exceptional candidates outside Florida, including West Coast applicants, but local South Florida is strongly preferred.
