Position OverviewThe Executive Assistant will act as a strategic partner to the executive, providing high-level administrative, operational, and logistical support. This individual will manage complex scheduling, communication flow, and coordination across professional and select personal matters to ensure smooth daily operations and long-term efficiency.
Success in this role requires excellent judgment, thick skin, strong multitasking ability, and confidence interacting with a wide range of personalities—both internally and externally.
Core Responsibilities Executive Operations & Coordination- Oversee and maintain a highly active calendar, balancing business meetings, travel, personal commitments, and shifting priorities
- Anticipate conflicts and proactively resolve scheduling challenges
- Serve as the main gatekeeper for communications directed to the executive, prioritizing messages and responding or routing as appropriate
- Draft, review, and edit correspondence, presentations, and reports with a high level of accuracy and professionalism
- Organize meetings from start to finish, including agendas, materials, follow-ups, and action-item tracking
- Coordinate detailed domestic and international travel arrangements, including flights, lodging, transportation, and documentation
- Manage preferences, budget considerations, and contingency planning
- Prepare and submit expense reports and invoices in a timely and accurate manner
- Assist with select personal and household-related administrative matters, including:
- Coordination of insurance policies and renewals
- Scheduling and communication with home vendors and service providers
- Managing personal appointments, deadlines, and documentation
- Act as a professional and trusted liaison with personal contacts and vendors
- Conduct research and compile information to support executive decision-making
- Track deadlines, deliverables, and ongoing priorities to ensure nothing slips through the cracks
- Identify opportunities to streamline processes and improve efficiency
- Handle sensitive, proprietary, and personal information with the highest level of discretion
- Exercise independent judgment when representing the executive
- Maintain professionalism and confidentiality in all interactions
- Prior experience supporting senior leadership or C-suite executives
- Exceptional organizational skills and the ability to manage multiple priorities simultaneously
- Strong written and verbal communication skills
- Confident, polished demeanor with excellent interpersonal instincts
- High proficiency in Microsoft Office and related productivity tools
- Resourceful, proactive, and solutions-oriented
- Comfortable working independently while collaborating with internal teams
- Reliable, timely, and detail-driven execution of responsibilities
- Clear, professional communication with stakeholders at all levels
- Consistent discretion and sound judgment
