Position Summary:
We are seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive administrative support to three Vice Presidents overseeing HR Operations and HR for our brands. The successful candidate will efficiently manage complex calendars, coordinate initiatives, and facilitate effective communication across teams. This role requires discretion, excellent interpersonal skills, and the ability to manage multiple priorities in a fast-paced environment.
Administrative Support:
- Manage and maintain calendars, schedule meetings, and coordinate appointments.
- Manage procurement and office supplies.
- Maintain confidential files and sensitive information with discretion.
- Arrange travel itineraries, accommodations and logistics
- Prepare and reconcile expense reports in accordance with company policies.
- Support logistics for meetings, workshops HR events.
- Coordinate scheduling and materials needed for events.
- Prepare, review and organize reports, presentations and confidential documents.
- Maintain organized electronic files.
- Act as a primary point of contact between VPs and internal stakeholders.
- Prepare agendas for meetings, take minutes and follow up on action items.
- Facilitate effective communication across departments.
- Proven experience as an Executive Assistant or Administrative Assistant supporting senior leadership, preferably in HR or Talent-related functions.
- Ability to handle sensitive and confidential information with discretion.
- Excellent organizational and time-management skills.
- Strong written and verbal communication abilities.
- Ability to handle confidential information with confidentiality.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and calendar management tools.
- Ability to multitask and prioritize in a fast-paced environment.
- Strong interpersonal skills and professionalism.
- Experience supporting multiple executives simultaneously.
- Knowledge of HR, Talent Acquisition, or Total Rewards terminology and processes.
- Proactive and self-motivated.
- Ability to prioritize tasks and work under pressure.
- Professional demeanor and positive attitude.
