Location: District Six Financial Services Office, 1000 NW 111th Avenue, Sweetwater, FL 33172
The Work: This position provides administrative and accounting support for the Financial Services Office, including warrant processing, voucher schedule preparation, electronic document conversion, audit support, and general office administration.
Core Responsibilities:
- Maintain internal control requirements for warrant security and ensure accordance with Section 215.422 Florida Statutes.
- Reconcile warrants with payment registers and vendor invoices; process special handling warrants as directed.
- Prepare voucher schedules for permanent record retention and maintain electronic copies.
- Scan, index, and convert payment documents to required electronic formats for storage and retrieval.
- Archive prior year files and maintain record retention documents following procedure.
- Respond to voucher information requests from internal and external auditors, and comply with public information laws.
- Process all standard and electronic mail, including date‑stamping of invoices and other documents.
- Analyze payment documents to determine transaction dates as defined by Section 215.422 F.S.; stage invoices in the unpaid invoice file.
- Reconcile FLAIR payment voucher schedules to pending vendor invoices.
- Identify and generate voucher schedules required for auditing by the Department of Financial Services.
- Secure, transmit, and deposit receipts to the Cashier’s Office using the Receipt Processing System (RPS).
- Research and resolve payment inquiries from vendors and employees, communicating results via email and telephone.
- Answer telephone calls, take messages, and provide general inquiries.
- Assist with scheduling meetings and process office documentation.
- Maintain and organize records, filing systems, and inventory using Department tracking and data management file systems.
Required Knowledge, Skills, and Abilities:
- Knowledge of an accounts payable system and payment processing.
- Knowledge of office procedures and practices.
- High attention to detail.
- Good customer service skills.
- Ability to follow oral and written instructions.
- Ability to research unidentifiable invoices/documents.
- Ability to work in a team environment with shared tasks.
- Ability to work independently and prioritize assignments to meet deadlines.
- Effective oral and written communication skills.
