Job Summary

The Talent Management and Development Department is currently seeking a Temporary Administrative Assistant to join their team of professionals.

The Administrative Assistant will provide vital support to the Talent Management and Development (TMD) team at Florida International University (FIU). This temporary position is ideal for someone who is detail-oriented, highly organized, and passionate about supporting professional learning and development. The assistant will contribute to the success of employee orientation, training session coordination, and system testing, helping ensure a smooth and engaging experience for both learners and university partners.

Key Responsibilities

New Employee Experience (Employee Orientation) Support:

  • Draft and send pre- and post-orientation emails to new hires
  • Track attendance and follow up with employees who miss required sessions
  • Update orientation welcome presentations with attendee names and departments
  • Provide on-site support during orientation sessions by posting links, managing slides, and assisting facilitators

Leadership Education Advancement Program (LEAP) Support:

  • Draft and send pre- and post-session communications to participants
  • Track attendance and follow up with participants as needed
  • Update session materials and ensure all resources are prepared in advance
  • Coordinate logistics for each session, including catering, room setup, and printed materials
  • Provide on-site support during sessions by managing materials, assisting facilitators, and handling logistics

Training Session Support:

  • Prepare materials for in-person training events, including handouts and presentations
  • Set up the training room before sessions (arranging tables/chairs and placing materials at participant seats)
  • Support day‑of logistics to ensure a welcoming and organized learning environment

Administrative & Systems Support:

  • Answer and direct phone calls in a professional manner
  • Greet visitors and ensure a welcoming experience
  • Manage incoming and outgoing correspondence, including mail and email
  • Coordinate and schedule meetings, appointments, and maintain calendars
  • Prepare meeting agendas and take meeting minutes when needed
  • Help coordinate office events, trainings, or meetings
  • Monitor and respond to messages in the Talent Management and Development shared inbox
  • Use FIU's internal system (Panther Soft) to send performance evaluation forms and assist with other HR-related processes
  • Participate in systems testing within Panther Soft alongside the TMD team
  • Handle sensitive information with discretion and integrity
Minimum Qualifications

High School Diploma or GED and 2 years of experience; OR an equivalent combination of relevant education and/or experience.

Desired Qualifications
  • Strong written and verbal communication skills
  • Experience with Microsoft Office Suite (especially PowerPoint and Outlook)
  • Comfortable learning new systems and following detailed procedures
  • Ability to work independently and collaboratively in a professional setting
  • Prior experience in HR, learning and development, or higher education is a plus
