We are seeking a proactive and highly organized Executive Assistant to provide top-tier administrative and strategic support to our C‑suite executives. This role is the backbone of the leadership team, managing complex calendars, travel, communications, and special projects in a fast‑paced, high‑growth environment. Ideal for a polished professional who thrives on anticipating needs and keeping everything running smoothly behind the scenes.
Key Responsibilities:
- Manage multiple executive calendars, schedule internal/external meetings, and resolve conflicts with precision.
- Coordinate domestic and international travel, including detailed itineraries, visas, and expense tracking.
- Prepare agendas, presentations, and materials for board meetings, investor updates, and leadership off‑sites.
- Act as the primary gatekeeper for incoming communications (email, calls, Slack), drafting responses and prioritizing urgent matters.
- Organize events, team off‑sites, and client dinners with flawless execution.
- Handle sensitive and confidential information with absolute discretion.
- Track action items, follow up on deliverables, and maintain organized filing systems (Google Drive, Notion, etc.).
- Support light personal tasks for executives when required (family travel, reservations, gifts).
Qualifications:
- Experience: 3+ years as an Executive Assistant supporting C‑level executives.
- Education: Bachelor’s degree preferred but not required.
- Mastery of Google Workspace / Microsoft Office, Slack, Asana or similar tools.
- Exceptional written and verbal communication with a polished, professional demeanor.
- Extreme attention to detail and ability to juggle competing priorities without dropping the ball.
- Proven discretion with highly confidential information.
