As an Accounts Payable Specialist, you will be responsible for managing the company's financial obligations to suppliers, vendors, and creditors. Your primary duties will involve processing invoices, reconciling discrepancies, and ensuring timely payments. In our growing, multi-state operation, this role also supports various compliance, licensing, and asset management functions to ensure operational continuity. You will play a crucial role in maintaining accurate financial records and contributing to the overall efficiency of the organization's financial operations.
Duties/Responsibilities- Receive and review invoices for accuracy, completeness, and compliance with company policies and use tax exemptions.
- Code and input invoices into the accounting system, ensuring proper allocation to the respective accounts.
- Obtain necessary approvals for invoice payments.
- Prepare and process weekly and ad hoc payment runs (check, ACH, wire, and online platforms).
- Maintain and update fixed asset records in coordination with accounting.
- Support compliance activities including lease administration, vehicle and trailer registrations, and renewal of state and county licenses.
- Monitor payment due dates to ensure timely settlements and avoid late fees or penalties.
- Reconcile payments with invoices and maintain detailed payment records.
- Correspond with vendors and suppliers regarding invoice discrepancies, payment inquiries, and other related matters.
- Address vendor inquiries promptly and professionally, maintaining positive relationships.
- Reconcile accounts payable transactions with monthly statements.
- Investigate and resolve any discrepancies or variances in a timely manner.
- Generate reports on accounts payable activities, such as aging reports, payment summaries, and vendor balances.
- Assist in month-end and year-end closing processes, providing necessary documentation and support.
- Maintain vendor files including W-9s and exemption certificates; assist with 1099 preparation.
- Ensure compliance with company policies, accounting principles, and regulatory requirements.
- Assist in internal and external audits by providing relevant documentation and explanations.
- Identify opportunities to streamline accounts payable processes and enhance efficiency. Identify and recommend opportunities to improve accounts payable processes and efficiency.
- Proficiency in Quick Books and Microsoft Excel.
- Strong attention to detail and accuracy in data entry and reconciliation.
- Excellent organizational and time management skills.
- Effective communication skills, both written and verbal.
- Ability to work independently and collaboratively in a fast-paced environment.
- Knowledge of accounting principles and practices.
- Familiarity with relevant laws, regulations, and compliance standards.
- Bachelor's degree in Accounting, Finance, or related field preferred.
- 3-5 years experience in accounts payable or general accounting roles.
