HC has partnered with a privately-owned healthcare technology organization actively seeking a Billing Specialist for a 3+ month contract in Miami, FL.
The Billing Specialist is responsible for the accurate and timely processing of Time and Material (T&M) invoices. This role works closely with accounting, service, operations, and customers to resolve billing issues, discrepancies, and ensure compliance with billing guidelines to maintain accurate records in the ERP system.
Key Responsibilities- Manage end-to-end T&M billing, including preparing, issuing, submitting, and troubleshooting customer invoices for billable work orders.
- Review work orders and quotes to ensure services, parts, and billing align with approved quotes and customer purchase orders.
- Configure and maintain billing rules within the ERP system according to company guidelines.
- Audit work order documentation prior to billing, ensuring discounts, courtesy hours, or exemptions are properly documented and approved.
- Record non-billable items and ensure parts costs are accurately captured in the ERP.
- Collaborate with internal teams to resolve discrepancies and ensure timely receipt of customer purchase orders.
- Address customer billing inquiries, complaints, and discrepancies.
- Validate customer billing details, including contact information, tax status, and jurisdiction.
- Identify and resolve customer tax setup issues in coordination with accounting teams.
- Reconcile field service work orders with ERP sales orders and ensure missing sales orders are created.
- Estimate revenue for unprocessed services at period end and generate provisional invoices when required.
- Prepare billing reports and support audits or ad-hoc analysis.
- Knowledge of general accounting principles (US GAAP)
- Strong attention to detail and analytical thinking
- Problem-solving and logical reasoning skills
- Strong communication and customer service skills
- Ability to meet deadlines and adapt to system or process changes
- Proficiency in Microsoft Excel and Word
- Associate degree (or equivalent) in Accounting, Business, or Finance, or at least 3 years of relevant accounting experience
- ERP experience preferred (e.g., Net Suite)
