About Arc of Greater New Orleans

A group of concerned parents joined forces in 1953 to provide better lives for their children who, because of developmental delays and intellectual disabilities, were not able to participate in everyday society. At the time, little was known about intellectual disabilities. It was very common for doctors to counsel parents to place their children in institutions for most of their lives.

Emboldened by their collective desire to raise their children in the home and their refusal to accept that institutionalization was the only option, groups around the country organized and implemented action plans at the local level to give their children fuller lives in the community.

Our independent local 501(c)(3) nonprofit is known as Arc of Greater New Orleans. We currently serve over 500 children and adults in Jefferson, Orleans, St. Bernard, Plaquemines, and St. Tammany parishes.

Summary

The Administrative Assistant will be responsible for assisting Supported Living Services (SLS) leadership with completing administrative tasks required by the team. Duties will be assigned as needed by the Director of SLS including oversight of financial records for the program and completing administrative duties as needed.

Essential Job Functions
  • Provide comprehensive administrative support to the Supported Living Services (SLS) leadership team
  • Review LaSRS block reports and timecards daily
  • Maintain persons served records in Therap as needed
  • Create and maintain Excel spreadsheets, reports, and program-specific data
  • Maintain and update SLS databases and scheduling systems
  • Generate and maintain financial records for SLS and representative payee members
  • Prepare representative payee monthly bills, submit payments, and reconcile monthly expense reports
  • Prepare and submit invoices and check requests to accounting
  • Receive, track, and distribute medications for SLS members receiving medication administration
  • Distribute monthly MARs and daily logs to program supervisors
  • Communicate with pharmacies regarding refills and prior authorizations
  • Record and retain accurate meeting notes and internal documentation
  • Track staff training requirements and advise supervisors on renewals and compliance
  • Maintain insurance, brake tag, and compliance documentation for staff and management
  • Prepare correspondence, memorandums, and internal documents
  • Transmit information and documents via computer systems, mail, and phone
  • Prepare and maintain home and office books, including indexes and tabs
  • Monitor program-specific tropical preparedness and evacuation readiness requirements
  • Serve as a primary point of contact for outside agencies, vendors, and community partners
  • Build and manage relationships with key partner organizations
  • Perform other duties as assigned
Education/Experience Requirements
  • High school diploma required, some post-secondary education preferred
  • Excellent computer skills (Microsoft Office)
  • Excellent communications skills
  • Previous experience working with persons with developmental disabilities preferred
  • Must have a valid LA driver's license
Working Conditions & Physical Demands
  • This role requires moderate activity, including sitting, standing, walking, and carrying
  • While performing the duties of this job, the employee is regularly required to talk or listen. Specific vision abilities required by this job include close vision and the ability to adjust focus.
  • This position requires the ability to lift both light and heavy items as needed, occasionally
  • Ability to drive another person to and from various locations
