Western Vascular Institute is seeking a Full-Time Surgery Scheduler to join our busy and growing Vascular Clinic!
We’re looking for a hardworking, detail-oriented, and positive individual who thrives in a fast-paced medical environment. The ideal candidate will be a team player who enjoys collaborating with physicians, staff, and patients to ensure seamless surgical coordination and exceptional patient care.
Position OverviewAs a Surgery Scheduler, you’ll be responsible for scheduling surgical procedures for assigned physician(s), coordinating with multiple hospitals and surgical suites, arranging pre-operative testing, and ensuring all required documentation is accurate and complete. You’ll work closely with patients, providers, and surgical facilities to guarantee efficient and timely surgery scheduling.
- Coordinate and schedule all surgeries (in-office and hospital-based), including pre-op, intra-op, and post-op appointments.
- Communicate effectively with patients, physicians, and staff to provide timely and accurate information.
- Prepare, route, and maintain all necessary paperwork and documentation to meet facility and physician requirements.
- Verify insurance eligibility and obtain procedure authorizations.
- Order and discontinue medications based on physician protocols for surgery.
- Calculate and collect patient copays and coinsurance prior to surgery.
- Recognize and respond appropriately to urgent or emergent situations per established protocols.
- Identify and resolve scheduling barriers to improve efficiency and workflow.
- Maintain excellent relationships with physicians, staff, and management.
- High school diploma or GED required.
- 1+ years of surgery scheduling or relevant medical office experience preferred.
- Strong understanding of medical terminology and practice operations.
- Excellent communication and interpersonal skills.
- Proficient in computers, EMR systems, and scheduling software.
- Strong organizational and multitasking abilities with keen attention to detail.
- Ability to problem-solve, prioritize, and work independently or as part of a team.
- Discretion and professionalism when handling confidential information.
- Positive attitude, flexibility, and a strong desire to learn.
- Bilingual is required.
