Minimum Qualifications
- One–two years of patient registration experience in a medical office or healthcare setting.
- Effective communication with physicians, patients and the public, establishing positive relationships with internal and external stakeholders.
- Knowledge of insurance rules and regulations, medical terminology, and computer scheduling systems.
- HSD/GED or equivalent.
- Bilingual (English/Spanish) strongly preferred.
- Previous experience in collecting payments preferred.
- Promptly greet and acknowledge patients; inform MAs and providers of arrivals.
- Instruct patients in completing medical history and forms; correct records as needed.
- Obtain accurate demographic and insurance information and financial contract/consent; ensure all required authorizations and referrals are attached to appointments.
- Identify and collect co-payments, co-insurances, and past‑due balances.
- Explain financial requirements to patients, respond to billing and insurance questions; refer complex queries to Site Billing Specialist.
- Evaluate patient financial status and establish payment plans as authorized.
- Accurately complete and interpret insurance verification and benefits; notify relevant parties of coverage issues.
- Scan new or updated patient information into the computer system.
- Schedule follow‑up appointments; review coverage; notify patients of required authorizations/referrals and send requests to PCP.
- Maintain knowledge of insurance plans accepted by HOPCo.
- Communicate with patients in the lobby if a physician or provider is running behind schedule.
- Maintain a secure and accurate cash drawer; balance and close daily.
- Uphold patient confidentiality.
- Maintain a clean and organized front office workspace.
- Follow established Front Office SOPs.
- Demonstrate current competencies, including a general understanding of insurance requirements.
