Overview
Detail-oriented and customer-focused Commercial HVAC Dispatcher responsible for coordinating daily commercial service operations. This role supports technicians, service management, and customers by managing schedules, prioritizing service calls, and maintaining clear communication across all parties. Success in this role requires strong organizational skills, the ability to adapt in real time, and a commitment to operational efficiency and service quality.
Responsibilities- Schedule, dispatch, and coordinate commercial HVAC service technicians
- Prioritize service calls based on urgency, technician skill sets, and geographic efficiency
- Maintain clear and timely communication with technicians throughout the workday
- Communicate professionally with commercial customers regarding scheduling, updates, and service changes
- Monitor job progress and adjust schedules as needed to meet service expectations
- Accurately enter, update, and maintain service information within dispatch and service management systems
- Support service managers and operations teams with coordination and administrative tasks
- Ensure service workflows align with company policies and operational standards
- High school diploma or equivalent
- Minimum of 1 year experience in dispatching, scheduling, or service coordination
- Strong verbal and written communication skills
- Ability to manage multiple priorities in a fast-paced environment
- Proficiency with basic computer systems and data entry
- Demonstrated professionalism and customer service skills
- Experience in commercial HVAC, mechanical, or skilled trades service environments
- Familiarity with Service Titan or comparable field service management software
- Experience supporting commercial service contracts or maintenance programs
- Background in customer service, particularly in B2B or commercial settings
- Working knowledge of HVAC terminology and service workflows
- Highly organized with strong attention to detail
- Calm, adaptable, and solutions-oriented under pressure
- Strong follow-through and accountability
- Ability to work collaboratively across departments
- Consistent, reliable, and process-driven
