The Office Manager / Collateral & Loan Servicing Assistant will own day‑to‑day office operations and support our lending business through collateral documentation and loan servicing. This role is ideal for a highly organized, detail‑oriented person who can manage documents, follow precise processes, and provide reliable support to both clients and internal teams.
Responsibilities Collateral & Loan Processing- Prepare and print loan and collateral documents for closing
- Organize, scan, and file loan packages and supporting documents
- Verify that required documents are complete and properly signed
- Coordinate with internal team members and clients to obtain missing information
- Perform notary services for loan signings (if commissioned)
- Monitor payment status and follow up with borrowers on late or missed payments
- Make and receive phone calls related to loan servicing and collections
- Maintain accurate servicing records and update internal systems
- Support preparation of statements, notices, and other servicing communications
- Coordinate with internal teams on loan renewals, extensions, and payoffs
- Manage office supplies, snacks, and Costco/office orders
- Coordinate basic office maintenance and vendor communication
- Support HR/people ops with light tasks such as:
- Scheduling interviews and internal meetings
- Assisting with onboarding logistics (paperwork, access, welcome materials)
- Provide general administrative support to the team as needed
- Prior office administration experience is a plus
- Strong attention to detail and accuracy, especially with financial and legal documents
- Reliable, organized, and able to manage multiple tasks and priorities
- Comfortable making servicing/collections phone calls in a professional manner
- Professional written and verbal communication; customer‑service mindset
- Proficient with standard office software (email, spreadsheets, PDF tools, printers/scanners)
- Bilingual strongly preferred
- Mandarin and/or Spanish are a plus
- Active Notary Public commission (or willingness/eligibility to obtain one) strongly preferred
- Prior experience in loan servicing, loan processing, or financial services is a plus
