Overview
We are looking for a Front Desk Receptionist at Job Train, Inc. This onsite position greets visitors, handles phone calls, and assists with registration for career training programs. Hours are 7:45 a.m. – 4:15 p.m., full‑time.
General Duties and Responsibilities- Receives and greets visitors in a warm and professional manner, processes check‑in, directs visitors to the appropriate resource or location.
- Develops a deep understanding of Job Train’s programs and services, answers questions, and provides marketing materials.
- Administers protocol steps: maintains logs, issues badges, takes temperature checks, creates name tags, and monitors visitor flow.
- Maintains a clean, organized desk and front lobby; keeps flyers and forms well‑stocked.
- Answers and transfers telephone calls, schedules appointments in relevant systems, and maintains calendars.
- Sends, receives, and distributes mail and packages using USPS or other delivery services.
- Performs routine clerical duties: data entry, filing, word processing, and event support.
- Monitors office supply needs and submits replacement order lists for purchasing.
- Maintains procedural documentation: phone lists, vendor contacts, emergency contacts, etc.
- Proactively contacts clients interested in Job Train’s programs and assists with the registration process.
- Contacts community organizations to inform them of upcoming programs and services.
- Staffs community events as needed, including occasional weekend or evening events.
- Records all client and organization contact in Salesforce.
- Minimum 2 years experience in a public‑facing customer service or front desk/reception role.
- Demonstrated ability to work independently while representing an organization and helping clients.
- Experience communicating business information in Spanish is highly desired but not required.
- Communications – professional, polite, welcoming communication style over phone, in person, and in writing; efficient promotion of programs; clear instructions;
Spanish speaking is a plus. - Client Orientation – identify and respond to diverse guests’ needs, quickly direct to the appropriate party.
- Listening – give full attention, understand, ask questions as appropriate, and respond as needed.
- Dependable & Detail Oriented – punctual, follows procedures, maintains accurate logs, performs duties timely.
- Organization Skills – follows processes, recommends procedures where none exist.
- Technology Skills – intermediate proficiency with phone/PBX, MS Office, Calendly, Salesforce; basic document formatting; spreadsheet calculations; data table filtering.
Job Train requires employees to be fully vaccinated against COVID‑19, except as required by law. Employment offers are contingent upon satisfactory proof of vaccination.
Compensation and BenefitsThis full‑time, non‑exempt onsite position offers a competitive pay rate of $23.34 per hour and a generous benefits package, including health, dental, vision, paid vacation, sick time, holidays, floating holidays, retirement plan with employer match, long‑term disability, life insurance, and employee assistance program (EAP).
