At Forever Ready Productions, we believe that storytelling has the power to inspire action. As our Operations & Client Manager
, you’ll play a critical dual role, ensuring our internal operations run smoothly while also managing a select portfolio of client projects
. We’re a small and efficient team of 6-8 on-purpose.

This is a hands-on leadership position designed for someone who loves both people and process and is eager to grow into a Director of Operations role as our company scales.

The Right Person will:

  • Know when to ask, when to decide, and when to escalate

Key Responsibilities

Operations Manager (60% of Role)

  • Manage Business Plan Execution
  • Drive execution of the company’s 1-Year Plan, Quarterly Rocks, and business projects
  • Participate in Level 10 meetings and ensure Scorecards, Issues List, and To-Dos are maintained and followed up on
  • Ensure project timelines, client deliverables, and internal systems align with goals and Rocks
  • Proactively track issues that impact delivery or profitability and lead resolutions
  • Lead, Manage, and Hold Accountable
  • Directly manage core team members (producers, editors, client managers).
  • Create, iterate and uphold clear roles, responsibilities, and expectations for each team member.
  • Lead 1-on-1s and performance conversations with empathy and clarity
  • Foster alignment around priorities, deadlines, and expectations
  • Take initiative and full ownership of internal systems and team accountability
  • Own/Oversee the project pipeline
    : from initial sale to final delivery.
  • Forecast capacity based on current and future workload.
  • Maintain visibility into scheduling
    , resourcing
    , and project life cycles
    .
  • Identify and resolve bottlenecks (especially those slowing the Creative team)
  • Help hold the sales process accountable by setting realistic timelines and flagging risks early
  • Support Owner/Visionary in delegating operations and project follow-through
  • Client Management (40% of Role)

    1) Client Management

    • Lead a portfolio of active client projects (3–5 at a time)
    • Facilitate kickoffs, maintain client communication, and manage expectations
    • Translate feedback and goals into actionable production direction
    • Ensure delivery is on schedule, on budget, and aligned with the project vision
    • Serve as a confident point of contact for key partners and nonprofit clients
    Process, Systems, and Scalabilty
    • Collaboratively build and optimize systems for project management, communication, file delivery, and feedback loops

    • Champion and refine SOPs and documentation (even in creative workflows)
    • Implement tech tools and internal workflows that drive sustainable team operations
    • Understand and monitor project budgets
      , scopes, and profitability.
    • Flag scope creep or inefficient workflows and recommend solutions.
    • Monitor internal metrics (like edit hours, producer time, shoot days) to help improve margins.
    Must-Have Skills
    • Strong communicator and natural organizer
    • Strategic thinker with a 6–12 month planning horizon
    • Comfortable holding people accountable and giving feedback
    • Experience managing a small team of people
    • High attention to detail, even in creative environments
    • Understands video production lifecycle and its many nuances
    Nice-to-Have Skills
    • Previous client management or account leadership experience
    • Desire to cultivate business development alongside sales
    • Can offer creative direction or feedback when the team needs it
    • Familiarity with tools like Asana, Adobe, Vimeo, Quick Books, or Canva
    • Familiarity with EOS / Traction operating systems
    Success Metrics (First 12 months)
    • 90% of shoots and edits delivered on time and on vision
    • Owner’s day-to-day involvement in ops reduced by 40%
    • 1:1 meetings held quarterly with all staff
    • Quarterly Rocks are set, tracked, and 80%+ completed
    • Client satisfaction and retention remains high for managed accounts
