We are seeking a detail-oriented and highly organized Bookkeeper / Executive Administrative Assistant to support both the day-to-day accounting functions of the company and the personal financial affairs of company ownership. This is a dual-function role well-suited for someone who thrives in a small, close-knit environment, takes ownership of their responsibilities, and brings a high degree of accuracy and discretion to everything they do.
Key Responsibilities- Maintain accurate financial records using Quick Books (desktop or online)
- Process accounts payable and accounts receivable
- Reconcile bank statements, credit card accounts, and general ledger accounts
- Prepare and distribute monthly financial reports
- Assist with payroll processing and related filings
- Coordinate with outside CPA or tax advisor as needed
- Manage and ensure timely payment of personal bills, invoices, and recurring expenses
- Track personal accounts and maintain organized records
- Coordinate with financial advisors, banks, and vendors as directed
- Handle confidential financial matters with the utmost discretion
- Manage calendars, correspondence, and scheduling for leadership as needed
- Organize and maintain financial and administrative files
- Handle special projects, errands, and ad hoc requests from ownership
- Serve as a reliable point of contact for vendors, clients, and service providers
- 2–5 years of bookkeeping or accounting experience preferred
- Proficiency in Quick Books (certification a plus)
- Strong command of Microsoft Office, particularly Excel
- Exceptional attention to detail and organizational skills
- Ability to handle sensitive and confidential information with professionalism
- Strong written and verbal communication skills
- Self-starter with the ability to manage multiple priorities independently
- Bachelor's degree in Accounting, Finance, or Business preferred — relevant experience considered in lieu of degree
