We are seeking a detail-oriented and highly organized Bookkeeper / Executive Administrative Assistant to support both the day-to-day accounting functions of the company and the personal financial affairs of company ownership. This is a dual-function role well-suited for someone who thrives in a small, close-knit environment, takes ownership of their responsibilities, and brings a high degree of accuracy and discretion to everything they do.

Key Responsibilities
  • Maintain accurate financial records using Quick Books (desktop or online)
  • Process accounts payable and accounts receivable
  • Reconcile bank statements, credit card accounts, and general ledger accounts
  • Prepare and distribute monthly financial reports
  • Assist with payroll processing and related filings
  • Coordinate with outside CPA or tax advisor as needed
  • Manage and ensure timely payment of personal bills, invoices, and recurring expenses
  • Track personal accounts and maintain organized records
  • Coordinate with financial advisors, banks, and vendors as directed
  • Handle confidential financial matters with the utmost discretion
Executive Administrative Support
  • Manage calendars, correspondence, and scheduling for leadership as needed
  • Organize and maintain financial and administrative files
  • Handle special projects, errands, and ad hoc requests from ownership
  • Serve as a reliable point of contact for vendors, clients, and service providers
Qualifications
  • 2–5 years of bookkeeping or accounting experience preferred
  • Proficiency in Quick Books (certification a plus)
  • Strong command of Microsoft Office, particularly Excel
  • Exceptional attention to detail and organizational skills
  • Ability to handle sensitive and confidential information with professionalism
  • Strong written and verbal communication skills
  • Self-starter with the ability to manage multiple priorities independently
  • Bachelor's degree in Accounting, Finance, or Business preferred — relevant experience considered in lieu of degree
