We are seeking a highly organized and proactive Administrative Assistant to support a fast-paced family law practice. This role is responsible for managing client scheduling, coordinating billing, and handling written client communication with professionalism and accuracy.
This position requires someone who is comfortable working independently, solving routine problems without constant supervision, and maintaining a high level of organization in a client-facing legal environment.
The ideal candidate is reliable, detail-oriented, an excellent writer, and confident making administrative decisions to keep the office running smoothly.
CLIENT SCHEDULING- Schedule all client consultations and appointments
- Manage attorney calendar and resolve scheduling conflicts
- Coordinate meeting logistics and confirmations
- Ensure consultations are properly booked and paid before the meeting
- Communicate with clients through Clinked and email
- Respond to client inquiries professionally and promptly
- Provide clients with updates, instructions, and scheduling information
- Maintain a calm, professional tone with clients in sensitive family law matters
- Send monthly billing statements to clients
- Process online payments and consultation fees
- Pay court filing fees and client‑related expenses
- Monitor accounts to ensure billing is completed accurately and on time
- Maintain accurate records of client communications
- Track payments and invoices
- Ensure administrative workflows run smoothly
- Identify and resolve routine issues without constant supervision
- Strong organizational ability

- Ability to work independently and make sound administrative decisions
- Comfort managing multiple tasks simultaneously
