Position Summary

We are seeking a highly organized and adaptable Office Operations Coordinator to provide cross-functional administrative support in a fast-paced distribution environment. This role will assist multiple departments including Purchasing, Customer Service, Shipping, and Receiving to ensure smooth daily operations. The ideal candidate is detail-oriented, flexible, and comfortable prioritizing tasks across departments.

Key Responsibilities Purchasing Support
  • Assist with creating and tracking purchase orders
  • Communicate with vendors regarding order confirmations and shipment updates
  • Maintain accurate purchasing documentation and filing systems
  • Support inventory replenishment coordination
Customer Service Support
  • Answer incoming calls and route inquiries appropriately
  • Assist customers with order status, product availability, and general questions
  • Accurately enter customer orders into the system
  • Provide backup support during peak call times or staff absences
Shipping Support
  • Assist with preparation of outbound shipments
  • Create shipping labels and verify shipping documentation
  • Coordinate carrier pickups and resolve delivery issues
  • Track shipments and provide status updates as needed
Receiving Support
  • Assist with logging and processing incoming shipments
  • Verify packing slips against purchase orders
  • Enter receiving data accurately into the system
  • Maintain organized documentation for received goods
General Office Duties
  • Cross-train across departments to provide coverage as needed
  • Maintain confidentiality of company and customer information
  • Support special projects as assigned
  • Maintain a clean and organized workspace
Qualifications
  • 1–3 years of administrative or office experience preferred
  • Experience in a distribution or manufacturing environment is a plus
  • Strong organizational and multitasking skills
  • Excellent verbal and written communication skills
  • Detail-oriented with strong problem-solving ability
  • Ability to work independently and collaboratively within a team
