Dobbs Truck Group operates 25 commercial truck dealerships through two operating companies Dobbs Peterbilt and Western Truck Center. These dealerships represent some of the best commercial truck brands including Peterbilt, Volvo, Mack, Autocar, and Hino and include locations in Arkansas, California, Louisiana, Mississippi, Oregon, Tennessee, and Washington.

I. General

Job Description

The Truck Sales Administrator plays a critical role in supporting both new and used truck sales operations. This position ensures accuracy in inventory management, facilitates the flow of trucks through inspection and reconditioning, supports customer interactions, and maintains the integrity of documentation, marketing, and OEM systems. The role also serves as a key administrative liaison between sales, service, and external partners.

Responsibilities

Sales Process Support:

  • Prepare documentation and assist the sales team in closing used truck sales.
  • Welcome and assist walk‑in customers, directing them to the appropriate sales team member.

Inventory & Marketing Management:

  • Maintain inventory accuracy in the CRM, including online marketing and lot organization.
  • Coordinate marketing of new and used trucks across online platforms and advertising channels to increase visibility and generate leads.
  • Conduct periodic inventory audits and support reporting requirements.

Truck Reconditioning & Logistics:

  • Manage the movement of used trucks through service for inspection, reconditioning, and sale‑readiness.
  • Approve used truck reconditioning in alignment with quality standards and cost controls.
  • Coordinate truck transportation and location transfers.

Truck Ordering & OEM Administration:

  • Coordinate the ordering and confirmation of new trucks with GM approval, including reviewing specifications and updating the order board.
  • Serve as dealership administrator for Volvo/Mack portals, ensuring timely and accurate data entry and updates.

Operational & Administrative Support:

  • Assist in the development and processing of trade packages with the General Manager.
  • Support repossession coordination efforts as needed.
  • Perform other duties as assigned in support of dealership operations and divisional goals.
Minimum Job Qualifications
  • 18 years of age.
  • Valid driver’s license required.
  • High school diploma or equivalent required.
  • Minimum 1 year of experience in an administrative, clerical, or office support role.
  • Proficient in Microsoft Office (Word, Excel, Outlook) and basic data entry.
  • Strong organizational skills with the ability to manage multiple priorities and maintain accuracy.
  • Clear verbal and written communication skills.
  • Ability to work independently and collaboratively in a fast‑paced environment.
  • Professional demeanor with strong customer service orientation.
Desired Job Qualifications
  • 2+ years of experience in truck dealership operations, sales administration, or a similar support role preferred.
  • Strong organizational skills with a focus on detail and follow‑through.
  • Proficiency in CRM platforms, Microsoft Office, and digital marketing tools.
  • Familiarity with truck specifications, OEM systems (e.g., Volvo/Mack portals), and reconditioning workflows is a plus.
