HOW YOU WILL MAKE AN IMPACT:
The Executive Assistant will serve as the primary administrative and operational support to the Varsity Spirit senior executive team, ensuring seamless coordination, communication, and execution of priorities across multiple functions. This role requires a proactive, detail-oriented professional capable of managing complex schedules, confidential information, and cross-departmental initiatives in a dynamic, fast-paced environment.
The ideal candidate is highly organized, anticipates needs, and thrives in supporting multiple senior leaders with professionalism, discretion, and a spirit of collaboration.
WHAT YOU WILL DO:
Executive Support & Administration
- Provide comprehensive administrative support to the senior executive team, including calendar management, travel coordination, expense processing, and meeting logistics.
- Prepare, edit, and manage executive correspondence, presentations, and reports with accuracy and confidentiality.
- Serve as the primary liaison between executives and internal/external stakeholders to ensure timely communication and follow-up.
- Manage board and leadership meetings, including agenda preparation, materials distribution, and minutes documentation.
- Anticipate and proactively resolve administrative challenges to enable executives to focus on strategic priorities.
Operational Coordination
- Coordinate cross-functional initiatives, ensuring alignment and timely completion of deliverables.
- Support special projects, strategic planning, and corporate events on behalf of the executive team.
- Maintain organizational systems, filing, and document management to ensure operational efficiency and compliance.
- Partner closely with other executive assistants and administrative staff across Varsity Brands to streamline communication and processes.
Culture & Communication
- Represent the executive office with professionalism, integrity, and positivity.
- Uphold and model Varsity Spirit’s mission, values, and commitment to excellence in every interaction.
- Assist in planning team meetings, offsites, and company events to foster engagement and alignment.
QUALIFICATIONS:
Knowledge, Skills, & Abilities
- Advanced proficiency in Microsoft Office Suite, Outlook, Teams, and related productivity tools.
- Exceptional organizational, time management, and multitasking skills.
- Strong written and verbal communication skills with attention to detail.
- Proven ability to handle confidential information with discretion and professionalism.
- Ability to adapt quickly, anticipate needs, and operate effectively under pressure.
- High degree of initiative, ownership, and problem‑solving ability.
Experience & Education
- 5+ years of executive assistant or senior administrative experience supporting C‑level or senior executives.
