Overview
Job Description and Market Range: 08. Under the direction of the Dean of the College of Nursing, the Executive Administrative Coordinator manages the daily operations of the Dean's office, serves as the public relations liaison, develops and proofs key communications, manages confidential information, organizes key meetings and records minutes, reviews CVs and other required documentation, portfolios, and presentations.
Responsibilities- Provides support for the Dean of the College of Nursing by managing the daily operations of the Dean's Office.
- Serves as the public relations liaison for the Dean’s Office. Greets all visitors, reporters, and other officials on behalf of the Dean.
- Manages the Dean’s calendar and attendance calendar for all administrative staff.
- Schedules meetings on behalf of the Dean. Prepares agendas for meetings.
- Collaborates with other administrative staff to organize the college leadership team for meetings, projects and other collaborative efforts; serves as staff leader and contact person for new staff orientation, assistance with conflict resolution, information dissemination, and chairing staff meetings.
- Under the direction of the Dean, develops and proofs key communications, documents, and correspondences to be submitted to chancellors, deans, mayors, governor, members of the legislature, community leaders, hospital CEOs and members of the international community.
- Prepares reports for the Dean as needed; maintains complete files for Dean correspondence, textbooks, grants/contracts, slides, teaching, service responsibilities, and committee meetings.
- Reviews and ensures that CVs and other required documentation, portfolios, and presentations are complete before evaluations occur; informs the Dean of problem areas.
- Prepares travel authorizations and reimbursements. Approves time sheets and leave requests for all administrative staff.
- Provides project management for all projects related to the Dean's office with a focus on specific initiative, keeping task deadlines and budgets on track.
- Performs other duties as assigned.
EDUCATION: High School Diploma or GED. (TRANSCRIPT REQUIRED)
EXPERIENCE: Five (5) years of experience providing executive level administrative support (director level or above) in an academic or business setting is highly desirable;
OR Associate’s Degree and three (3) years of experience providing executive level administrative support;
OR a combination of related college coursework and work experience equal to five (5) years.
Knowledge, Skills, And Abilities
- Excellent interpersonal skills that facilitate effective relationships with faculty, staff, students and constituents of the college.
- Ability to multi-task and meet deadlines; ability to initiate tasks and work independently of supervision.
- Strong computer skills, including knowledge of Word, Excel, Adobe;
Oracle proficiency or willingness to learn Oracle. - Excellent written and oral communication skills enabling interactions with diverse groups of faculty, staff and students.
- Ability to work effectively in a fast-paced, high-visibility environment, anticipate leadership needs, and independently prioritize work.
WORK SCHEDULE: This position may occasionally be required to work evenings and weekends.
