The Third Party Clinical Manager is responsible for the day‑to‑day management of the Third Party Team, patient cycle management, assessing daily needs of the team; maintaining statistics and outcomes; maintaining donor and series spreadsheets; participating in staff reviews; supporting staff education and orientation needs; responsible for updates to the program policy and procedure manual; collaborating with the team to review and update patient educational tools and marketing efforts;
responsible for creating Third Party Management meeting agendas and follow‑up.
- Periodic review of Third Party Program standards and protocols in collaboration with the Medical Director, Donor Egg Team and Executive Clinical Director to ensure compliance with state and federal regulations as well as ASRM Guidelines.
- Ensure that RMA LIIVF staff members are aware of and understand current regulatory standards; conduct annual evaluations with the Executive Clinical Director.
- Periodic evaluation of educational materials, consents, and training tools for efficacy and accuracy; update as necessary.
- Actively participate in recruitment and marketing of donors and recipients.
- Maintain open communication with the Executive Clinical Director on regulatory updates and team needs; communicate Third Party volume, stats, and patient issues.
- Responsible for the financial health of the program; review billing for accuracy and evaluate medication costs on a bi‑annually basis.
- Responsible for record keeping of all donor record requirements (7–25 years) and recipient files for inspection.
- Serve as the liaison for all Third Party issues with the Executive Clinical Director and CFO.
- Attend national Donor Egg conferences as a representative of RMA LI IVF; ensure understanding of latest issues and policies.
- Maintain departmental Quality Assurance needs.
- Ensure continued communication with the Social Worker related to recipient or donor concerns.
- High school diploma or equivalent and completion of a Certified Medical Assistant Program required; state certification preferred.
- Current and valid NYS licensure and registration as an R.N. or B.S.N. desired.
- Experienced manager in reproductive medicine specific to third‑party reproduction.
- Knowledge of medical terminology and regulations.
- Ability to work as part of a multidisciplinary team.
- Excellent communication and interpersonal skills.
- Knowledgeable of regulatory requirements (FDA, NY State DOH, ASRM).
- Knowledge of recipient, donor, and eligibility processes.
