You’re not here to manage people or dictate priorities. You’re here to make complex, meaningful work run smoothly by keeping everything visible, connected, and on track.
In addition, you’ll sit at the center of our projects, with a clear view across teams, timelines, and partners. You’ll have the bird’s eye view of our project timelines, where you’ll identify emerging risks, delays, or unclear scope and bring them to the Product Squad for alignment and resolution.
You’ll track when things are humming along, and when they’re quietly getting stuck.
This is a supporting and coordinating project management role. You will not directly manage staff or own product decisions. Instead, you act as the bridge across teams by maintaining project visibility, surfacing risks early, and ensuring the right conversations happen at the right time.
Project Coordination & Delivery Support- Maintain project plans, timelines, dependencies, and Gantt charts across multiple work streams
- Track delivery health and identify early signals of slowdown, scope creep, or misalignment
- Notice when teams appear “stuck” and surface this to the Product Squad for alignment
- Prepare clear summaries and escalation notes when decisions, authority, or resources are unclear
- Keep the CEO informed of risks, tradeoffs, and emerging issues in a concise, actionable way
- Track project budgets, flag potential overruns or resourcing needs, and support budget development for proposals
- Liaise with product, technical, and consulting contributors to ensure shared understanding of timelines and deliverables
- Support the Product Squad by organising information, tracking follow-ups, and documenting decisions
- Note:You do not manage team members or assign work directly
- Serve as a day-to-day coordination point for active projects with external partners
- Track deliverables, timelines, and communications
- Escalate client concerns, scope changes, or delivery risks to the CEO
- Note:You are not responsible for contract negotiation, conflict resolution, or strategic account management
- Conduct desk research on potential partners, RFPs, and funding opportunities aligned with our mission
- Track opportunities and support pitch and proposal preparation
- Note:Proactive outreach or lead generation may become part of the role in the future as a growth opportunity, but is not a core expectation today
- 5+ years managing projects or programs (consulting experience is a plus)
- A track record of juggling multiple projects without dropping balls
- The kind of brain that naturally organises, tracks details, and follows through
- A relevant university degree (or equivalent experience)
- Real alignment with our mission: you actually care about supporting immigrants and displaced people
- Comfort and enthusiasm working in diverse teams and with people from different cultural backgrounds, lived experiences, and perspectives
- PMI certification or similar project management credentials
- Your own experience with immigration, or work with immigrant/refugee-serving organisations
- Strong research skills: you know how to find information fast
- Experience with white-label SaaS or B2C platforms
- Experience with nonprofit organisations
Consulting project management background - Knowledge of Canada’s settlement sector and how it gets funded
- Comfort reading and responding to RFPs
- You speak languages other than English
