Summary
The Case Coordinator performs various administrative and clerical tasks to support the office for all sections of the Court. Strong organizational and communication skills help maintain smooth office operations.
Essential Duties
Under general supervision of the District Court Administrator, Deputy Court Administrator and/or immediate Supervisor:
- Maintains and updates case information in case management systems and log books, if necessary, for all active civil, criminal, family, motion hearing, miscellaneous, arbitration cases and juror matters schedules all types of court cases ; receives, records, files, applications , letters, notices and forwards various petitions, motions, pleadings, stipulations inter-office and to appropriate departments; personally attends hearings, processes continuances (or this included in the above?).
Assures completeness of forms, and coordinates appearance of jurors and parties, litigants, attorneys pertinent to scheduled trials, criminal arraignments, family and civil conferences, hearings; obtains attorneys for hearings. Types list, correspondence, forms, etc. - Submits statistical reports as required. As needed,
- Schedules all types of court cases.
- Receives, records, files, applications, letters, notices and forwards various petitions, motions, pleadings, stipulations inter-office and to appropriate department.
- Personally attends hearings when necessary.
- Assures completeness of forms, and coordinates appearance of jurors and parties, litigants, attorneys pertinent to scheduled trials, criminal arraignments, family and civil conferences, hearings; obtains attorneys for hearing.
- Types list, correspondence, forms, etc.; submits statistical reports as required
- Refers to supervisor for resolution of major problems.
- Assists Judge or Hearing Officer, as appropriate.
- Supports arraignment, arbitration, family , PFA hearing processes
- Maintains files and records, ensuring they remain updated and easily accessible.
- Sorts and distributes incoming mail and prepared outgoing mail.
- Answers the telephone, takes messages or redirects calls to appropriate person.
- Utilizes office equipment such as copiers, printer, computer, etc. for data entry, spreadsheet creation, etc.
- Assists in office management and organization procedures.
- Assists needs of the public / customer service at counter areas
- Refers to supervisor for resolution of major problems.
- Assists Judge or Master, as appropriate.
- contact supervisors regarding problems.
- Maintains files and records, ensuring they remain updated and easily accessible
- Sorts and distributes incoming mail and prepared outgoing mail
- Answers the telephone, takes messages or redirects calls to appropriate person
- Utilizes office equipment such as copies, printer, computer, etc. for data entry, spreadsheet creation, etc.
- Assists in office management and organization procedures
- Performs other related duties as required
High school diploma or equivalent;
An equivalent combination of education, experience and/or training may be considered
Strong computer skills with a working knowledge of Microsoft Office desired
Strong communication and organizational skills desired.
Prior office experience preferred
