Pre-Trial Clerk

Summary

The position of Pre-Trial Clerk involves preparing case files prior to criminal arraignments. The position requires the individual to follow written and oral instructions, computer knowledge, and the operation of standard office equipment. Good organizational skills are required, along with the ability to prioritize work. Excellent communication skills are used to interact with other offices and staff by telephone and in person.

Essential Duties

Under general supervision of the Office Administrator:

* Print out available case files sent to OJS

* Add dates for when sheets were received

* Identify at top of page the range of case files listed

* Enter case fil numbers into PMS to retrace additional documents related to case

* Print out entire dockets using case file numbers

* Label docket title pages with transcript numbers and date of arraignment

* Check subpoena for accuracy and confirm arraignment date is the same as the docket sheet

* If defendant signature is missing from subpoena a letter is sent with defendant's name and address on file notifying the defendant of date, time, and where to go

* Organize docket sheets by upcoming dates of arraignment and insure subpoena is located as last page of stapled docket sheets

* Check to ensure pertinent information is included into dockets

* Request from OJS any omitted information, once received add to dockets

* Arrange completed docket information into a file folder and label with last and first name, transcript number and date of arraignment

* Enter transcript number into Accorde software to print out scannable bar code labels, and
