Job Title: Accounting Supervisor
Salary Range: $65,550–$87,843
Reports to: Director of Finance
This position is 260 days (12 months) with 10 paid holidays, paid sick leave, paid flexible personal leave (3 days per year), and paid vacation. If hired after the start of the school year, days and leave are pro‑rated. Job SummarySupervise and provide backup for Payroll, Benefits, Accounts Payable and Accounts Receivable positions in addition to maintaining the District's general ledger accounts. Administer the operations of the accounting office in accordance with state laws, rules and school district budget and financial policies and procedures. Provide assistance to the Finance Director as needed.
Essential Job Functions- Supervision:
Supervise accounting functions of Accounts Payable, Invoicing, Payroll and Benefits. Provide backup and cross‑train staff for these functions as needed. - Continually search for, identify and implement process improvements to improve customer service, reduce processing time and improve quality and accuracy.
- General Ledger:
Prepare and enter all authorized journal entries to the district books, record revenue receipts, reconcile balance sheet accounts monthly, perform month end closing, assist the Finance Director with monthly financial statements and perform analysis of general ledger accounts as requested. - Cash Management:
Ensure that the District does not overdraw accounts by tracking daily cash deposits and disbursements and transfer funds as needed. Maintain appropriate balances in district bank accounts, prepare and review bank reconciliations, investigate any discrepancies and outstanding checks out longer than 90 days and provide banking services support to school secretaries for their ASB accounts. - Budget:
Make budget adjustments as authorized and keep records of all adjustments made during the budget year. Provide budget versus actual reports to administrators monthly, and detailed reports as needed. Assist the Finance Director in annual budget preparation. - Grant Accounting:
Develop basic understanding of each grant and allowable costs, assist grant program directors with developing grant budgets, provide monthly financial reports and submit monthly grant disbursement requests. - Annual Audit:
Prepare schedules and gather source documents as requested by auditors. Assist the Finance Director in preparation of annual CAFR report and reports due to the Oregon Department of Education. - Accounting Software:
Develop detailed understanding of how the accounting system is set up; investigate and problem‑solve issues as they arise; make recommendations for system improvements to enhance accuracy, efficiency and security. - Student Body Accounting:
Assist and train secondary school secretaries on the use of accounting and receipting software and prepare annual schedules for audited financial statements. - Responsible for being familiar with the school/district policies and procedures which govern the work.
- Prompt and regular attendance is required.
- Performs other tasks as assigned.
- Assists other personnel as may be required for the purpose of supporting them in the completion of their work activities.
- Participates in various meetings and professional development activities for the purpose of sharing information and/or improving one's skills/knowledge.
Job Requirements – Qualifications
- College degree in Accounting or Business and five (5) years in education accounting. Knowledge of US GAAP, accounting systems to include general ledger, payroll, benefits, accounts payable, accounts receivable; and generally accepted office and accounting practices.
- High degree of accuracy and attention to detail. Ability to exercise good judgment and work independently in an environment with frequent interruptions. Self‑motivated, quick thinker and problem solver. Excellent organizational and time‑management skills with a desire to grow and learn.
