What You Do

As an Assistant General Manager, you will provide valuable operational support to ensure the smooth functioning of the property. Your role will involve a wide range of tasks, including assisting with day‑to‑day operations, interacting with residents, vendors, contractors, and visitors, and providing general support to staff members. The ideal candidate should have an extremely strong attention to detail, be highly organized, and be able to operate efficiently in a demanding work environment.

Requirements

Transition and Project Management
  • Set up new accounts, change over mailing addresses
  • Input data into web‑based software, upload documents, audit information
  • Input owner information in Building link and general information, as needed
  • Assist in managing office admin duties
  • Handle all lease turnovers
  • Schedule/approve move‑ins and move‑outs in conjunction with the office admin
  • Conduct property inspection
  • Follow up on billing requests from Maintenance Team
  • Manage front desk schedule and temp coverage
  • Host monthly board calls via Zoom
  • Secure proposals for projects in the building
Customer Service
  • Field questions from clients via phone/email (i.e. providing account balances, web portal access, general building information, etc.)
  • Interact with and assist all unit owners, vendors, etc. at the request of the managers, either by phone, email, fax, or in‑person, whichever is appropriate
  • Send out mass communication via phone and email to residents
  • Assist Accounting with the administration of credits or charges of late, legal, fines, and/or maintenance fees that apply to owner ledgers under the direction of manager
  • Assist senior managers with vendor invoice inquiries (i.e. overcharges, billing address changes, or name changes)
  • Completed Shared billing with the Encore
Administrate Client Accounts/Reports
  • Maintain unit owner name and/or address changes, and other various types of information as necessary
  • Draft/proofread notices/memos/letters/templates (templates may include violation letters, general notices, memos, etc.) at the request of the senior manager and send out/make arrangements as directed
  • Organize documents within company network and hard files and assist with mailings as directed
  • Assist Accounting with outstanding delinquencies for all properties and follow up as directed
  • Run any weekly/monthly reports for properties as directed by senior managers (i.e. insurance tracking, rental reports, etc.)

Education and Experience
  • Bachelor’s degree (B.A./B.S.) in Business or related field, or equivalent combination of education and experience preferred
  • 1‑2 years administrative experience in a corporate setting
  • Real Estate experience and Property Management license a plus
  • Ability to self‑manage and be resourceful, with the proven ability to multitask and operate successfully under tight deadlines and time pressures under limited supervision
  • Computer proficiency to include Microsoft Office applications (Outlook, Word, Excel)
  • CMCA certification preferred
  • Must have valid driver’s license and reliable transportation
Physical Requirements
  • Ability to sit for extended periods and use a computer
  • Occasional lifting of up to 35 pounds, standing, sitting, walking, and occasional climbing may be required
