Summary
The AI & Autonomy Innovation Center (L130) is seeking an enthusiastic and talented Administrative Assistant to join the team in McLean. The successful candidate will be responsible for supporting the Director, division leadership, and our labs in a wide variety of detailed operational, organizational, financial, and administrative tasks that are essential to ensure the smooth operations of the division.
Roles & Responsibilities- Work closely with and support a fast‑paced & growing team in AI and Autonomy
- Provide administrative support to mid‑level and senior management including calendaring, routine tasks, and other general supports
- Provide support to the AI Lab (scheduling tour requests, preparing for meetings, handling purchasing requests, and monitoring the budget)
- Provide logistical support to department/division meetings, events & socials including meeting room bookings, calendaring, catering and other planning requirements
- Collaborate with managers and HR to coordinate interview scheduling & logistics as well as onboarding and offboarding activities for staff
- Develop presentation materials in support of department/division efforts
- Prepare communications, such as memos, emails, reports and other correspondence
- Maintain electronic and other records & archives
- Provide support to staff in developing project deliverables, meetings & events
- Provide support to staff in navigating MITRE corporate processes
- Work with corporate teams to coordinate office space, workplace supports and staff equipment
- Book travel arrangements & process expense reports for managers, as requested
- Responsible for Pcard purchasing, finance/budget tracking, and relevant monthly accounting & property tagging
- Monitor staff absences and time reports, patch updates, mandatory training
- Coordinate monthly AI talks and presentations
- Provide general support to visitors and events
- Typically Requires a minimum of 5 years of related experience with a Bachelors Degree or 9 years of related experience in lieu of a degree
- Exceptional self‑organization and time management skills with a proven ability to prioritize tasks efficiently and meet deadlines in high‑pressure situations
- Experience with Workday System
- Experience with Microsoft Office Suite skills (Word, Excel, Power Point, Outlook, One Note), Teams and Microsoft Share Point
- Knowledge of core HR and Training processes
- Excellent communications and interpersonal skills with the ability to collaborate effectively with colleagues at every level of the organization
- This position requires a minimum of 50% hybrid on‑site
- Per the US Governments eligibility requirements, you must be a US Citizen to be considered for a security clearance
- Experience with Travel and Expense systems, Concur is preferred
- Knowledge of Purchasing and Pcard Processes and systems or similar
- Ability to provide technical editing support to materials generated by staff
- Previous experience supporting a large, dynamic, fast‑paced team
- Secret Clearance preferred
- Knowledge of MITRE policies/procedures
