The Receptionist serves as the first point of contact for clients, families, providers, and community partners at Next STEPS Worldwide. This role is responsible for creating a welcoming, organized, and professional front-office environment while ensuring efficient communication, scheduling coordination, and administrative support. The Receptionist plays a key role in supporting clinical operations and assists leadership with projects as needed.

Key Responsibilities Front Desk & Client Experience
  • Greet and check in clients in a warm, professional manner.
  • Answer and route incoming calls promptly and accurately.
  • Respond to general inquiries via phone, email, and client portal.
  • Maintain confidentiality in accordance with HIPAA regulations.
  • Monitor lobby flow to ensure a safe and calm environment.
Scheduling & Administrative Support
  • Schedule, reschedule, and confirm appointments accurately in the EMR.
  • Verify provider schedules daily for accuracy.
  • Assist with reminder calls and follow-up communication.
  • Maintain organized digital and physical records.
  • Support completion of intake paperwork and client forms.
Operational Support
  • Monitor shared inboxes and assist with administrative task completion.
  • Maintain office supplies and coordinate ordering as needed.
  • Support billing or care coordination teams with basic administrative requests.
  • Ensure all front desk processes align with company SOPs.
Leadership & Project Support
  • Assist clinic leadership with projects as needed.
  • Support data collection, tracking, and reporting initiatives.
  • Help prepare materials for meetings, trainings, and audits.
  • Provide administrative support for operational improvements and special initiatives.
Qualifications
  • High school diploma required; associate or bachelor’s degree preferred.
  • Minimum 1–2 years of administrative or front desk experience (healthcare or behavioral health preferred).
  • Strong organizational and time management skills.
  • Excellent verbal and written communication skills.

    Ability to manage multiple tasks in a fast-paced environment.
  • Proficiency with EMR systems, Microsoft Office, and scheduling software.
  • Professional demeanor and strong customer service orientation.
