Position OverviewWe seek a responsible Administrative Assistant to perform various administrative and clerical tasks. As the Administrative Assistant, you will provide crucial support to our floor employees, Supervisors, managers, and the director of Distribution. Ensuring the efficient operation of our distribution center. Your role will involve handling administrative requests and analysing and preparing data as needed for the Director of Distribution. The Distribution Center Site Administrator is crucial in managing day-to-day operations at our distribution center.
This position requires a highly committed individual with excellent organisational skills, attention to detail, and the ability to handle programme management tasks effectively. The Site Administrator will work closely with the Director of Operations to ensure smooth operations and timely completion of tasks and establishment of structure and people‑aligned processes in a world‑class distribution centre where work‑life balance, people‑first culture, and a culture of growth, recognition, and safety accountability is honoured.
- Program Management:
- Oversee small to medium‑scale programs within the distribution centre.
- Coordinate with various teams to ensure programme goals are met.
- Monitor progress, identify bottlenecks, and propose solutions.
- Documentation and Note‑Taking:
- Take detailed notes during meetings, discussions, and site visits.
- Maintain accurate records of actions, decisions, and follow‑up items.
- Organise and manage documentation related to processes, procedures and compliance.
- Action Item Tracking:
- Create and maintain action item lists.
- Follow up with relevant stakeholders to ensure timely completion of tasks.
- Presentation Development:
- Assist in creating presentations for internal and external audiences.
- Compile data, prepare slides and ensure visual clarity.
- Financial and Operating Metrics:
- Update site financial and operating metrics daily.
- Analyse data to assess site performance and identify areas for improvement.
- Flexibility and Adaptability:
- Be open to ad‑hoc tasks contributing to training, development and site improvement.
- Embrace change and drive efficiency across the site.
- Culture Building:
- Foster a culture of trust, growth and people development.
- Encourage collaboration, teamwork and continuous improvement.
- High School Diploma or equivalent required. Associate’s Degree in Business preferred.
- Proven experience in programme management or administration.
- Strong organisational skills and attention to detail.
- Excellent communication and interpersonal abilities.
- Proficiency in MS Office including advanced skills in MS Excel and MS PowerPoint.
- Ability to adapt to a fast‑paced environment and manage multiple priorities.
- Commitment to meeting deadlines and ensuring high‑quality work.
