The RoleThe Purchasing & Receiving Coordinator supports purchasing and receiving activities to ensure the timely availability of materials for production and operations. This role is responsible for processing purchase orders, receiving and verifying materials, supporting internal purchasing requests, and maintaining accurate purchasing and inventory records using established tracking tools and processes, in advance of implementing an inventory management system.
It works under general direction, coordinating with suppliers and internal teams while managing multiple priorities. The position requires attention to detail, accuracy, and the ability to support both standard and specialized procurement needs.
Responsibilities- Create and process purchase orders to support production, engineering, and operations needs in a timely manner
- Receive, inspect, and verify incoming materials against purchase orders and packing slips to ensure accuracy and quality standards are met
- Record receipts and material movements to maintain accurate stock levels
- Coordinate with suppliers to resolve discrepancies related to pricing, quantities, delivery dates, or damaged goods
- Maintain organized receiving and storage areas to support efficient material flow, traceability and safety
- Assist with internal purchasing requests through accurate data entry and tracking to support timely procurement and clear order status
- Monitor open purchase orders and delivery schedules to support on-time receipt of materials
- Model behaviors aligned with our company values and guiding principles in all work and interactions
- Experience supporting purchasing and receiving activities in a manufacturing, engineering, or operations environment
- Familiarity with processing purchase orders, receiving documentation, and supplier coordination
- Strong attention to detail with the ability to perform accurate data entry and maintain reliable records
- Working knowledge of inventory concepts, including tracking, usage analysis, and reconciliation
- Ability to manage multiple priorities and requests while meeting deadlines
- Effective written and verbal communication skills
- Associate’s degree or above in Supply Chain, Logistics, Operations, or a technical/engineering-related field preferred
The position is primarily performed in an office environment with regular time spent in receiving and storage areas. The role requires occasional physical activity, including lifting and moving materials weighing up to 50 pounds and performing repetitive tasks. Work is performed in a standard indoor environment to support purchasing, receiving, and material handling activities.
