The Role

The Senior Program Administrator for the Upper Division & College Counseling is a dynamic, mission‑critical role at the heart of divisional operations, family engagement, and the college counseling program. Ideal for a highly organized, relationship‑driven professional with intellectual curiosity, this position thrives in a fast‑paced school environment and plays a meaningful role in supporting students during some of the most formative years of their lives.

Blending strategic thinking with day‑to‑day operational excellence, the role ensures the smooth functioning of the Upper Division while delivering specialized administrative and technical support to a comprehensive college counseling program serving senior and post‑graduate families.

As a trusted partner to division leadership and counselors, the Senior Program Administrator serves as a calm, capable first point of contact for families and a careful steward of systems requiring accuracy, confidentiality, and foresight.

What You Will Do
  • Manage daily attendance and absences.
  • Coordinate teacher coverage.
  • Oversee dismissals and transportation updates.
  • Organize field trips, special programs, and divisional calendars.
  • Serve as technical manager for Naviance, supporting students and families throughout the college application process.
  • Manage transcripts and recommendations, assist with Common App, College Board, and NCAA processes.
  • Coordinate college visits and maintain accurate data and communication systems.
  • Support large student cohorts and multiple staff members while helping families navigate transition to post‑secondary education.
Who You Are

We are seeking a dedicated, experienced professional who is energized by MAI’s mission and the opportunity to make a meaningful impact on students’ educational journeys behind the scenes. The ideal candidate brings a minimum of five years of experience in college counseling administration and demonstrates the highest standards of integrity, professionalism, and discretion. Exceptionally organized and detail‑oriented, they can manage multiple priorities and deadlines with a calm, steady presence, building strong, trusting relationships with students, families, faculty, and external partners.

With strong emotional intelligence, intellectual curiosity, and a comfort with technology, this individual thrives in a collaborative environment, adapts to evolving systems, and contributes to operational excellence across the Upper Division and college counseling programs.

Compensation And Benefits

The salary range is $90,000. Benefits for eligible roles include medical, life insurance, a 401(k) savings plan, and more.
