Responsibilities

Provides assistance to the sales director and the sales team by performing designated sales and marketing support tasks for residential and assisted living levels. Works collaboratively across all sales teams and handles office management, clerical, and receptionist tasks.

The sales assistant is often the first point of contact for prospective residents, setting the tone of competence, caring, and hospitality.

Greets all individuals who contact or visit the sales office, provides information, or refers them to the Sales Director or appropriate staff.

Responds to information requests via letters, brochures, phone, website, and proxy email; sends requested materials or redirects inquiries to the Sales Director or assisted‑living sales staff.

Answers incoming calls, directs them as appropriate, records messages, and provides requested information.

Assists or conducts tours of residential and assisted living as directed.

Coordinates marketing special events, including preparing and sending invitations, verifying attendance, distributing event forms, scheduling unit tours, and final event preparations.

Prepares orientation packets, move‑in information, phone directories, and name plates for new residents in residential and assisted living.

Provides administrative support to the sales director and assisted‑living sales staff: prepares correspondence, key reports, memos, tracks apartment extras, prepares apartment finish forms, and supports occupancy and admission/move‑in processes.

Maintains a presentable, professional, and well‑organized office; keeps department storage areas orderly, maintains inventory of supplies, orders as needed, and ensures promotional materials are stocked.

Qualifications

Education
:

  • Required:

    High school diploma
  • Preferred:
    College or business education

Experience
:

  • Minimum of one‑year related office experience providing clerical or administrative support.
  • Successful experience in a highly visible office with public interaction; experience in sales, marketing, or a healthcare related position preferred.

Knowledge, Skills, and Ability
:

  • Knowledge of senior care or senior living lifestyle preferred but not necessary.
  • Ability to remain calm in an emergency.
  • Maintains confidentiality when circulating general information.
  • Proficient in Microsoft Office; CRM experience a plus.
  • Tactful with excellent written and verbal communication (English).
  • Good organizational skills and ability to plan and carry out responsibilities with limited supervision.
  • Dependable, flexible, motivated, and willing to take initiative.
Physical Requirements

Most time is spent outside an office setting; mobility is necessary to move about the market area. The position requires occasional handling of lightweight materials and the physical ability to use the telephone, computer terminal, printer, and other related office equipment. Ability to staff a display in a public setting is necessary.

Compensation

$17.17 – $20.97 per hour
