Overview
Position Summary – Assists in general administration of leasing process and all related functions for the property. Responsible for processing rental applications, preparing leases, and creating accurate move-in files. Acts as a liaison between the applicant and leasing consultant for a smooth application process and move in. Answers phone, greets visitors and channels inquiries to appropriate staff members. Requires working knowledge of personnel, accounting, leasing, maintenance, computers, marketing and resident retention policies and procedures.
Reports to the Property Manager or General Manager.
- Ability to work with prospect and leasing consultant to collect accurate information and provide a positive leasing experience; performing necessary follow up to finish the application process
- Process applications correctly within 48 hours, obtain property or assistant property manager approval, and notify applicants of results
- Prepare lease packages, including calculating move-in charges for new residents, ensuring utility and renter’s insurance compliance, and collecting the security deposit in the required timeframe
- Submit final lease packet to the property manager for final approval, prior to returning the file to the Leasing Consultant to conduct the move-in
- Prepare and maintain resident files and work closely with the Residential Lease Administrator regarding new leases
- Assist the Property Manager with all phases of paperwork and reporting procedures as assigned
- Answer phone, greet visitors professionally, schedule appointments, and direct inquiries to appropriate staff member
- Enter application and lease into computer system and verify accuracy as needed
- Complete survey/welcome card for each prospect
- Implement and participate in social functions, resident appreciation days and open houses
- Complete and update move-in, move-out and rental packets
- Perform general administrative duties such as logging rent, filing, typing, mailing, ordering supplies, and resident termination calls
- Perform monthly market surveys and shop competition
- Follow Fair Housing regulations
- Required to work weekends
- Complete move-in package, test keys and inspect apartments prior to move-in, as needed
- Conduct new resident orientation, as needed
- Performs all other duties as requested by the Property Manager
- Flexibility in work schedule, as determined by regional management, may be required periodically to ensure adequate staffing in leasing office
- Achieve 90% or higher on all shops

- Must have valid driver’s license and dependable vehicle
- Knowledge of operating office equipment such as computer, fax machine, copier, printer/scanner
- Experience with Microsoft Outlook, Yardi
- Mathematical skills: ability to perform basic arithmetic and percentages
- Reasoning ability: ability to apply common sense in carrying out instructions and solving problems with a few variables
- Language skills: ability to read, write, and present information effectively to customers and staff
