POSITION SUMMARY

The Philanthropy Coordinator supports MTR’s development efforts by strengthening donor engagement, coordinating fundraising initiatives, and assisting with strategic campaigns and communications. This role emphasizes relationship building, stewardship, and strong organizational execution. This position is ideal for a dedicated, mission-driven individual who is focused, intentional, and eager to grow in nonprofit development while helping advance meaningful impact through MTR’s work.

This role works closely with the Director of Development and supports the broader leadership team and Board development efforts as needed.

KEY RESPONSIBILITIES Donor Database & Reporting
  • Maintain accurate and up-to-date donor records in the development database.
  • Generate fundraising and stewardship reports.
  • Reconcile donor data and contributions to ensure compliance with audit requests and internal standards.
  • Track in-kind donations and ensure proper documentation.
Donor Engagement & Stewardship
  • Build and maintain meaningful relationships with donors, sponsors, and prospective supporters.
  • Support the Director of Development in developing and executing donor cultivation and stewardship plans.
  • Lead donor retention efforts through personalized communications, appreciation activities, and donor recognition programs.
  • Coordinate donor visits, follow-up calls, and stewardship touchpoints.
  • Support donor-facing events, tours, and open houses.
Fundraising Programs & Campaigns
  • Support planning and execution of key fundraising initiatives, including:
    • Annual Giving & End-of-Year Campaign
    • Giving Tuesday
    • Sponsor ships and community fundraising events
    • Recurring giving and donor programs
    • Capital campaigns
  • Assist in developing campaign strategy, timelines, and materials in collaboration with the Director of Development.
  • Track campaign progress and report on results.
Major Gifts & Prospect Development
  • Assist the Director of Development in identifying and qualifying major gift prospects.
  • Support donor research and preparation for donor meetings.
  • Participate in donor outreach and relationship-building activities under the direction of the Director of Development.
  • Support the creation of personalized proposals, donor briefings, and stewardship plans.
Grants (Support & Coordination)
  • Coordinate grant tracking, deadlines, and documentation.
  • Prepare grant proposal drafts and supporting materials for review by the Director of Development.
  • Serve as a point of contact for grant administrators as directed.
  • Assist with research for new grant opportunities and support grant reporting requirements.
Events & Sponsor ships
  • Support planning and execution of fundraising events, including logistics, vendor coordination, and sponsor relations.
  • Manage event fundraising platforms (e.g., Give Smart) and ensure accurate donor tracking.
  • Coordinate volunteer needs and communications with the Volunteer Manager.
  • Provide event reporting and sponsor follow-up.
Marketing & Communications Support
  • Manage the Development content calendar for social media and email communications including announcements, campaigns, acknowledgements, events and other.
  • Draft donor correspondence including newsletters, appeal letters, acknowledgment letters, and other materials.

    Support public relations and media outreach efforts as needed.
QUALIFICATIONS
  • 1+ years of fundraising, sales, or donor relations experience (nonprofit experience preferred).
  • Strong interpersonal skills and a relationship-building mindset.
  • Highly organized with the ability to manage multiple projects simultaneously.
  • Strong written and verbal communication skills.
  • Proficient with Microsoft Office and comfort learning fundraising databases and platforms.
  • Self-starter who is goal-driven and able to work independently.
  • High ethical standards, confidentiality, and attention to detail.
  • Comfortable representing the organization at community events and donor meetings.
  • Familiarity of horses or prior equine experience is beneficial, but not required.
