Coach USA/Dillons in Hanover seeks a highly organized and detail-oriented Administrative Assistant for the front office. The role supports all office operations—answering phones, scheduling, data entry, office upkeep, mail, and emails—and assists the Vice President/General Manager with routine and special functions, including evening events.

- Manage day‑to‑day professional business of the VP/GM: screen calls, emails, and correspondence with follow‑up
- Coordinate managerial appointments, meetings, events, interviews, and calendars
- Arrange travel (flights, car service, hotels) as needed
- Prepare documents and reports and communicate with the VP/GM
- Prepare expense reports
- Handle mail distribution
- Answer and transfer operator calls
- Assist callers with inquiries
- Quote and book charters via phone, email, or walk‑in
- Follow up on payments, upload signed contracts, and enter charter payments
- Process credit‑card payments from customers
- Prepare expense money & envelopes for charters
- Prepare driver paperwork (maps, instructions, work orders)
- Manage employee uniforms (ordering, distributing, vouchers)
- Order office supplies
- Plan meetings and take minutes
- Execute projects requested by supervisor
- Perform other administrative tasks as needed in the Sales/General Manager office
- Excellent verbal and written communication skills
- Friendly manner and well‑groomed appearance
- Reliable transportation with ability to travel
- Proficiency in Microsoft Office suite
- Ability to work with all internal and external stakeholders
- Multi‑tasking and meeting/exceeding expectations
- Strong organizational and analytical skills
