The Compliance Administrator is responsible for managing the administrative aspects of vendor registrations, customer qualification applications, and the maintenance of certificates of insurance (COIs) provided by customers. This role ensures that all compliance-related documentation is completed accurately, submitted in a timely manner, and maintained to support ongoing business operations and client requirements.
Key Responsibilities:
Vendor Registration Management:- Complete and submit vendor registration packets and forms to prospective clients and platforms.
- Maintain accurate records of all registration statuses and follow up on pending approvals.
- Prepare and complete qualification documents required by customers for prequalification or project eligibility.
- Collaborate with internal departments to gather necessary information (e.g., safety records, financial data, licenses).
- Track incoming COIs from customers to ensure compliance with contractual and legal requirements.
- Review COIs for accuracy, coverage, and expiration; request updates or corrections as needed.
- Maintain organized COI records and ensure timely renewals.
- Update and maintain databases, spreadsheets, and documentation logs to reflect current status of all vendor and customer compliance requirements.
- Assist in creating internal tracking systems for ongoing compliance monitoring.
- Serve as a liaison between internal teams and external parties (vendors/customers/insurance agents) to facilitate information flow.
- Respond promptly to inquiries related to registration and insurance documentation.
Education &
Qualifications:
- High school diploma or equivalent; associate or bachelor’s degree preferred.
- Minimum 2+ years of demonstrated experience in administrative support, compliance coordination, or a related field.
- Familiarity with vendor portals, insurance terminology, and qualification processes is a plus.
- Strong attention to detail and excellent organizational skills.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Ability to manage multiple priorities and meet deadlines.
