The Accounting Coordinator will provide essential support to the finance department in a growing organization. This entry- to mid-level role focuses on day-to-day accounting operations, data entry, and assisting with process improvements. Reporting directly to the Director of Finance (and eventually the Controller), you'll help alleviate workload pressures by handling routine tasks, allowing time for strategic development. This position offers opportunities for growth as the department evolves.
Responsibilities- Perform accurate data entry for accounts payable (AP) and accounts receivable (AR), including invoice processing, vendor payments, and customer billing related to pool construction projects and service contracts.
- Reconcile bank statements, credit card transactions, and general ledger accounts on a monthly basis.
- Assist in preparing financial reports, such as balance sheets, income statements, and cash flow summaries, using accounting software (e.g., Quick Books, Sage, or similar).
- Maintain organized financial records, including filing, scanning, and digital archiving, while contributing to the development of standardized documentation procedures.
- Support month-end and year-end closing processes, including accruals, adjustments, and audit preparations.
- Handle basic payroll processing, expense reimbursements, and tax-related filings (e.g., sales tax for construction materials and services).
- Collaborate with other departments (e.g., operations and sales) to gather financial data for job costing on pool projects.
- Identify opportunities for process optimization, such as automating repetitive tasks, and assist in implementing new tools or workflows.
- Provide administrative support to the finance team, including managing correspondence with vendors and clients.
- Ensure compliance with company policies, GAAP principles, and relevant regulations in the construction industry.
- Associate's degree in Accounting, Finance, or a related field;
Bachelor's degree preferred. - 1-3 years of experience in an accounting or bookkeeping role, ideally in construction, service, or a growing small-to-mid-sized business.
- Proficiency in Microsoft Excel (including formulas, pivot tables) and accounting software; experience with ERP systems a plus.
- Strong attention to detail, organizational skills, and ability to manage multiple tasks in a fast-paced environment.
- Basic understanding of financial principles, including debits/credits, reconciliations, and financial reporting.
- Excellent communication skills for interacting with internal teams and external stakeholders.
- Adaptability to a developing department, with a proactive mindset for learning and contributing to process improvements.
- Familiarity with construction-specific accounting (e.g., job costing, progress billing) is advantageous but not required.
